BCSSA OKANAGAN REGIONAL CHAMPIONSHIPS SWIM MEET H2O Adventure and Fitness Pool, Kelowna, B.C. Saturday, August 2 and Sunday August 3, 2014 LOCATION: The 2014 BCSSA Okanagan Regional Championships will be held at H2O Adventure + Fitness Centre, 4075 Gordon Drive, Kelowna, BC V1W 5J2 t 250.764.4040 FACILITY: 50 metre, indoor, 2-8 lane pools, Seating for races, grass area for team tents. Camping will be available in the Pool Parking Lot to self contained units. See note at end of Meet Package. FORMAT and RULES: FORMAT: • All divisions will swim heats and finals, regardless of the number of entries. • Consolation finals will be swum in all events • Marshalling will combine divisions in heats and finals where possible, but not to the disadvantage of the swimmers. Final discretion will sit with the meet officials. • Relays are timed finals and will be swum following finals each day. *If there are more teams than lanes in any relay event, it will be swum as heats and finals, (morning and afternoon sessions for that event only). • Turtles will swim 25 m freestyle immediately after the 50 freestyle events on Saturday; and 25 m backstroke immediately after the breaststroke events on Sunday. (All turtles are to be registered in the meet package. There is no charge for Turtles to swim). RULES: All current BCSSA rules will apply to the 2014 Okanagan Regional Swim Meet including: • Each swimmer may swim a maximum of 4 individual events (all divisions) and 2 relay events. • Each swimmer must have competed in at least one INDIVIDUAL EVENT at one BCSSA meet. (A meet is considered one with >3 BCSSA clubs participating) prior to the Regional Championship Meet. • Eligibility for competing in the meet will be confirmed by the registrar and/or designate completing the meet entry packages. • Warm-up will consist of 2 sessions per period (1 Sr., 1 Jr.). TIMING: Omega Timing System will be used with a cardless marshalling system. 1 ENTRIES: All entry details are due to be submitted by email Sunday, July 27th, 2014 by 8PM. A validation list will be printed from the “Received Entries” and will be emailed back to each coach on Monday, July 28th, 2014. Any scratches should be made from this list. Please email the following documents for meet entries: • Hytek zip file (latest version with updates) • A validation list Full payment to “BCSSA Okanagan Region, with payment of $7.00 per swim, and $14.00 per relay will be collected during the meet. Scratch Meeting: All scratched swimmers must be submitted electronically to the registrar by 9PM, Tuesday July 29th. After that date, all swimmers will be considered “Entered” and will be charged accordingly. There will be no event changes following this time. Please ensure that your events are registered accurately and appropriately. EVENT CALLS: • This will be a cardless meet. Swimmers must, however, check in with the clerk of the course as indicated below. Official calls will be made at the Clerk of the Course Desk • Each event will be called by name and number two times, 2 minutes apart. • Any swimmer not present at the Clerk of the Course/Marshalling within 2 minutes after the 2nd call will be scratched. • For individual events, the 2 alternates for the finals must be immediately available at the clerk of the course. If the alternates are not available within 2 minutes, the final will be swum without replacement. • Once the alternate is called, the listed qualifier is considered scratched from the race. • In the relay event finals, only the 9th fastest team will be moved into the final if a qualifying team scratches. QUALIFICATION FOR PROVINCIAL CHAMPIONSHIPS: • The top 3 finishers in the finals of each “S” and “O” individual event at the Okanagan Regional Championships qualify for the Provincial Championships, to be held in Kamloops, BC, August 16-18. • Swimmers attaining a Provincial Qualifying Time(PQT) in a FINALS race, who did not place in the top 3 positions in that race, will also qualify to attend Provincials in that race. 2 PROVINCIAL RELAYS: • The top 2 relays in each “S” and “O” relay event at Regionals qualify for Provincials. • A relay that equals or betters the appropriate PQT in a relay heat (timed final) or relay final (heats and finals) at the Regional Meet will also qualify for Provincials. • The composition of relay teams may change between the Regional and Provincial Meets. All swimmers must meet the BCSSA registration criteria for competition in BCSSA and in the BCSSA Provincial meet (See earlier eligibility criteria under RULES). • Each relay team must have at least 1 competitive swimmer from the division in which they are competing. • The Official Relay Entry Form, must have listed on it, 4 swimmers and 2 alternates (if any planned); with each swimmer’s age division written after the name on the entry form, particularly if the swimmer has moved up into a different age category. • Official Relay Entry Forms are to be provided by each club and coach as they will not be available at the meet. PROVINCIAL SIGN UP: The BCSSA Provincial Swim Meet will take place on August 16 – 18 in Kamloops at The Tournament Capital Centre (Check BCSSA website for further details). Attendance at the Provincial Meet, as indicated above, is contingent on a swimmer qualifying according to the outlined criteria. (Swimmers, you and your families are urged to discuss the possibility of attending this meet PRIOR to the Regional Swim Meet. You will be asked to make a firm decision as to attendance or no attendance on the pool deck, literally minutes following a final swim! Be ready with your decision!) All qualifiers (as described above – those finishing 1st, 2nd, or 3rd in an individual race, or achieving a PQT in a final; and relay teams 1 and 2, and/or PQT) and usually, their parent(s!), must report to the Provincial Sign up Table following their final race. The sign-up table will be on deck once the finals begin each afternoon. Here, they will indicate their intentions to attend or not attend the Provincial Swim Meet. Attendance at the Provincial Meet carries with it significant expectations for swimmers (he or she is expected to swim and to represent the Okanagan Regional Team); and for parents (a willingness to serve as a volunteer form is completed on deck – no exceptions). (FYI –our Okanagan Region has the important duty of Deck Food Preparation at the Provincial meet.) If a swimmer fails to confirm plans for attendance at the Provincial Swim Meet, this will result in an alternate being selected (pretty quickly!). As in the past, “uncertainty” will be interpreted as a “Not Going”. The reason for this relates to the need to submit the meet results and entries from Regionals to the Provincial organizers within a very short time frame. The Okanagan wishes to send a full complement of committed swimmers to Provincials! OK provincial T-shirts and caps will be provided free of charge for all athletes who will be attending provincials. 3 *Coaches Note: A coaching representative from each club must attend the ‘Relay and Scratch Meeting’ after the meet concludes on Sunday. A blank cheque made out to ‘BCSSA Okanagan’ for each club’s Provincial Meet Entry Fee must be submitted at this time. SCHEDULE: Pool deck opens for Athletes at approximately 7:00am, Saturday and Sunday Officials’ Meeting 07:15 Saturday and Sunday Coaches’ Meeting 07:45 Saturday and Sunday Heats Begin 08:00 Saturday and 08:45 Sunday Lunch - approximately one hour following heats each day (or at the discretion of the meet manager, depending on results of the AM swim) Morning Warm-Ups o Saturday: Juniors 0700-0720, Seniors 0720-0745 o Sunday: Seniors 0700-0720, Juniors 0720-0745 Afternoon Warm-Ups will begin approximately one hour after heats finish o Saturday: Juniors 20 minutes, Seniors 20 minutes o Sunday: Seniors 20 minutes, Juniors 20 minutes Warm-Up Lanes will be assigned after entries are received. Timing Club Lane: To be determined after entries received Team Cheers: Note change from previous years! The CHEER competition will take place Sunday morning, following warm-ups. They will take place around the pool deck. Participants should note that there will be no PA available for music. The cheers this year are non-competitive and designed to encourage and support swimmers across the region. Get creative! FOOD: • Swimmers may bring food on deck for their use during the meet.
