In the following pages you will find the final exam schedule for the Fall 2014 semester.
Also included are the answers to some frequently asked questions, the pick-up and dropoff locations for final exams, and the floor proctor and standby assignments.
Please note that you will receive your individual proctoring assignments separately.

Frequently Asked Questions….
How is the exam schedule created?
Student schedule and course information is entered into an exam scheduling software to
create a final exam schedule grid with the least number of student exam conflicts. Once
the schedule grid is identified, room and proctor information is added by the Scheduling
Office. Whenever possible, we attempt to assign faculty to proctor their own exams.
What is the role of the stand-by proctor?
Stand-by proctors serve an important function. While all instructors intend to complete
their assignments, emergencies do occur. The standby is able to fill in for those times
when a colleague is late or unable to get to the college because of car trouble, illness, etc.
Stand-bys should report to the Community and Professional Education/Scheduling
Office, GUN 245 15 minutes before the time listed on your
schedule ( i.e. if your schedule says 8:00 you need to be in the
office at 7:45). This arrival time allows us to send the replacement proctor to pick
up the exam, get to the exam location and start the exam on time. Unless they are needed
to proctor, the stand-by proctors are able to leave 15 minutes after the exam period has
begun.
What if I have a problem with my proctoring assignment?
All proctors need to be accountable for their assignments. In the event that a last minute
conflict arises, please call the Scheduling Office at 629-7207 as soon as possible. This
allows us to assign a replacement proctor and limit any added stress on students, faculty
and staff.
If I am proctoring another faculty member’s exam where do I pick it up and return
it?
Please refer to the final exam pick up list for a complete listing of pick up and drop off
locations by subject code. This document is located in the final exam schedule packet and
on the final exam webpage.
Can I give my final at a time other than listed in this schedule?
Any deviation from this final examination schedule (i.e., alternate times, alternate rooms)
for individual or groups of students requires written authorization from the department
chair and dean before the exam is administered. Please inform the Scheduling Office of
any changes.
Role of proctors for final exams
Role of the Proctor
The proctor serves a key role in the administration of final exams each semester. Since
the college has a policy of common finals and all exams for a particular course must be
given at the same time, final exams cannot be given by the instructor in the last class.
Proctors are needed to cover both classroom and hall assignments during final
examination days.
Room Proctors
Final exam room proctors are responsible for the pick up and drop off of the exam and
for maintaining an appropriate environment during the exam period.
The following is a list of suggestions that we hope will be helpful in assisting you in your
role as proctor during the final examination period.
•
Plan to pick up the exam packet at least 15 minutes before the exam is scheduled
to start to allow time to get to your room location and begin the exam on time.
•
Make announcements at the beginning of the exam period with respect to the
length of the exam and any special instructions listed on the exam packet.
•
If you are the room proctor and you are not familiar with the exam content please
check with the hall proctor as they are usually a faculty member from that
discipline.
•
Instruct students to request permission to leave the room to use the rest room and
notify the hall proctor when a student leaves your room.
•
Instruct students to turn off cell phones, beepers, and any items that make noise
and might disturb others during the exam.
Hall Proctors
Final exam hall proctors are responsible for insuring all rooms used for exams in their
area have a proctor and for filling in for room proctors’ breaks, etc.
•
Hall proctors should arrive at your scheduled assignment at least 10 minutes prior
to exam starting time. This insures that you will be able to assist students and
proctors prior to the period starting.
•
Hall proctors should check in periodically with all rooms on their floor to see if
any of the classroom proctors need a break.
•
Hall proctors will receive an excel spreadsheet that lists the final exams by
classroom and time period, along with the proctored schedule for each classroom.
Standby Proctors
Final exam standby proctors are responsible for “standing in” for faculty who due to
illness or other emergencies are not able to make their proctoring assignment.
•
Standby assignment should arrive at GUN 245 15 minutes before the time
listed on your schedule ( i.e. if your schedule says 8:00 you need to
be in the office at 7:45). This insures that you will have enough time to get
the exam and get to the room location in the event that you are needed to take
over an assignment.
