NOTICE OF VACANCY
United States Pharmacopeial (USP) Convention – Promoting the Quality of Medicines (PQM)
Position:Administrative Assistant
Contract of Service: 12 months
Location: USP–PQM office at The Food and Drug Administration
2nd flr. Room 216, Main Bldg., Civic Drive, Filinvest Corporate City,Alabang, Muntinlupa City, Philippines
Office Hours: 8:00 am – 5:00 pm (Monday to Friday)
Qualification Standards:
• Completion of two (2) years in college in a relevant field such as office administration, communications,
human resources, or any related field.
• Preferably with at least one year of experience in an administrative post, with similar responsibilities as
described above.
• Fluency and proficiency in the English language, particularly in writing and speaking.
• Good computer skills with demonstrated use of word processing, spreadsheet and presentation software
(e.g., Microsoft Word, Excel, Power Point).
• Detail-oriented, with excellent interpersonal skills and ability to work in a multi-cultural environment.
• Ability to work independently, prioritize task, take initiative, and meet deadlines.
• Experience in coordinating logistical aspects of meetings, conferences, workshops, and other such events.
Duties and Responsibilities:
• Report directly to Dr. Souly Phanouvong, Dr. Wei (Elaine) Yuan and Ms. Maria Kathrina Olivarez of the
United States Pharmacopeial (USP) Convention – Promoting the Quality of Medicines (PQM) Program and
Ms. Maria Lourdes Santiago of the Philippines Food and Drug Administration (FDA).
• Maintain the data reporting system in an excel spreadsheet that will facilitate consolidation of all
laboratory reports and other relevant information from basic testing at the sentinel sites as well as
tracking which samples need to be sent to the FDA laboratories for confirmatory testing and organizing
test results.
• Maintain an information system for the Tuberculosis Medicine Quality Monitoring Project.
• Prepare and consolidate minutes of meetings, reports of activities and accomplishments of the sentinel
sites.Prepare/draft office communications and correspondences.
• Assist in coordinating meetings, conferences, workshops, and other events, including registration of
participants, distribution of per diem and/or reimbursements to participants, and preparation of pre- and
post-event materials.
• When requested, travel with PQM staff to selected sentinel sites in the Philippines.
• Perform other duties as needed upon request by PQM – Dr. Souly Phanouvong, Dr. Wei (Elaine) Yuan and
Ms. Maria Kathrina Olivarez.
