Thank you for your interest in the post of Clerk to Governors and Directors for the Waldegrave
Trust. Please find attached the job description and person specification. This post will work
across the academy trust and the successful candidate will be expected to work in both
Waldegrave School and Nelson Primary School. This new post has been created to ensure
objectivity and consistency across the Trust.
The post-holder will be expected to attend and clerk the Multi Academy Trust Board, the Local
Governing Body meetings (Waldegrave and Nelson) and the Local Finance and Resources
Committees for each School. There may also be other ad hoc committees requiring your
attendance, for example Governance, Admission appeals and Exclusion committees. Dates for
regular meetings have already been set for the 2014/15 Academic year and are available on
request.

To clerk all Trust, Local Governing Body and agreed committee
meetings across the Academy Trust
Work with staff and Chairs before every meeting to produce a
purposeful agenda
To encourage Headteacher/s and others to produce agenda
papers on time for circulation prior to meetings.
Help to produce an annual meeting planner across the Trust
Record attendance at meetings and take appropriate action
To produce, collate and distribute the agenda papers so that
recipients receive them at least seven days before the meeting
To take notes and record the minutes of meetings with action
points and maintain a file of signed copies along with relevant
papers at the Trust for public access
To record all decisions accurately and objectively with
timescales and who is responsible for actions
Chair that part of the meeting at which the chair is elected
Circulate the draft minutes approved by the Chair and
Headteacher to all Governors within two weeks of the meeting.
Maintain database of Trust members for all committees
including names, addresses and category of Governor
Advise the Business Manager of all changes in membership
Maintain copies of current terms of reference and membership
of committees and nominated Governors
Maintain Governor attendance records, skills register and
pecuniary interests records and ensure they are reviewed at
least annually with the Chair
Provide timely information to ensure Companies House
information is up to date and accurate
To organise the elections of parent and staff Governors
To co-ordinate all governor training activities and maintain a
Governors training database
