A. ABOUT VARSITY COLLEGE
AND THE UNIVERSITY OF
THE FREE STATE (UFS)
The UFS was established in 1904 as the Grey University College with six students. Today
they have more than 33 000 students across three campuses. As part of its mission to
become ‘a university recognised across the world for excellence in academic achievement and
in human reconciliation’, the university, its staff, students and alumni play a pivotal role in the
central parts of South Africa, the country as a whole, Africa and abroad.
The UFS law faculty is committed to excellence in teaching and to delivering jurists with
qualifications of international renown to the profession. The faculty is renowned for research
of international standing, and is also involved with community engagement, where the UFS
Law Clinic and several centres within the faculty directly play a major role.
Varsity College provides tuition for the UFS 4-year LLB degree. The curriculum for this degree
at Varsity College is structured according to the rules as specified by the UFS. The Varsity
College academic year runs from February to December. The modules are delivered on a
full-time basis with lectures Monday to Friday.

B.2 HOW TO REGISTER AT VARSITY COLLEGE
COMPLETING THE VARSITY COLLEGE REGISTRATION CONTRACT
Please note that returning students would need to see their campus Law Counselor before they can
register with Varsity College or UFS. Please see the sub section for ‘Returning Students’ under the
heading ‘HOW TO REGISTER AT UFS’ below for more details.
You are requested to complete the Varsity College Registration Contract as comprehensively
as possible prior to registering. Registration Teams and Student Advisors will be available at
registration should you need assistance with completing the document, or regarding the final
decision on your programme and/or module choices as well as answering any other questions.
As the Registration Contract is a legally binding document, this must be completed in black ink,
initialled and signed where required by:
- The Student
- The Account Payer
- The Legal Guardian, in the event that the student is a minor
DEVELOPMENTAL MODULE
First time students who fall into the below categories will be required to take
the Developmental Module:

Students who previously graduated from Higher Certificate in Business Principles and Practice

EXAMINATION RESULTS FOR 2014
You may amend your registration details if your final results achieved do not permit you to
proceed with the UFS LLB programme. This applies to new students.
All students registering for the first time are required to submit a certified copy of their
statement of results.

INTERNATIONAL STUDENT REQUIREMENTS STUDY VISA
Please note that international students are required by law to apply for a study visa in their country of
residence before entering South Africa. Please ensure that when you apply for your study visa, you
specify that you intend to study at The Independent Institute of Education (The IIE) and that the approved
visa mentions that you will be studying at The IIE. It is imperative that you obtain your study visa before
entering South Africa, and the onus is on you to provide Varsity College with both the number and a certified
copy of the visa. Your nearest South African Embassy or Consulate will be able to assist you in this regard.
Please note that having a valid study visa is a legal requirement and that until we receive a certified
copy of a valid study visa, you will not be able to attend lectures.
QUALIFICATION EVALUATION
Students applying for degree studies with an international qualification are required to apply to Higher Education
South Africa (HESA) for an exemption certificate (http://he-enrol.ac.za/). A certified copy of the HESA exemption
certificate is required. The HESA evaluation form is available at: http://he-enrol.ac.za/sites/he-enrol.ac.za/files/
m30_e_.pdf. HESA online applications can be made at: http://he-enrol.ac.za/online-application. It is important
to apply for qualification evaluations timeously as there is usually a two month waiting period at least.
IMPORTANT DOCUMENTATION REQUIRED
The following information must be submitted with the Varsity College Registration Contract:

• Certified copy of the student’s ID (first time registration).
• Certified copy of the account payer’s ID.
• Certified copy of your school leaving statement of
results/ National Senior Certificate.
• Passport photo to be attached to page 1 of the
Varsity College Registration Contract.
INTERNATIONAL STUDENTS
• Certified copy of the student’s passport (first time registration)
• Certified copy of the account payer’s passport. Please note
that this is required for first time registration OR if you are a
returning student and the account payer has changed from last year.
• Certified copy of a valid Study Visa made out to
The Independent Institute of Education.
• Certified copy of a National Senior Certificate equivalent
qualification. See “Qualification Evaluation” above.

B.3 HOW TO REGISTER AT UFS
FIRST YEAR STUDENTS
Once you have received confirmation from the UFS that your application has been approved and you
have completed your Varsity College registration and payment, you may continue with your UFS registration
and payment. You can request the UFS fee schedule from a Varsity College campus. You will be required
to pay the UFS registration fee five (5) working days before attempting to register online with the UFS.
TO REGISTER WITH THE UFS:
• Go to the UFS Campus Solutions Student Services Center page (this can be accessed via
www.ufs.ac.za/register2015 or through a quick link on the main UFS webpage www.ufs.ac.za).
• Log in using your Novell username and password. (You would have received the log in details during the
UFS application process).
• Input the required information in the relevant fields to complete the registration (a User Manual Guide
will be available on campus and via http://varsitycollege.ufs.ac.za/ should you require assistance).
• Once your registration is received by UFS, you will receive a confirmation sms.
APPLYING FOR ACADEMIC CREDITS
If you have studied at another tertiary institution previously and would like to apply for academic credits, this
must be done as early as possible.
RETURNING STUDENTS
• Before you can register for 2015 with Varsity College or UFS, you will need to check your final 2014 results.
• Make an appointment to see your Varsity College campus Law Counselor.
• Discuss any repeat modules and your 2015 module registration with the Law Counselor (ensure you
take a copy of your 2014 final results with you to the meeting).
• If you have failed any modules twice and wish to continue with your UFS LLB degree, you will be
required to send UFS a motivation (please see the section on the Letter of Motivation in this guide).
• Your Law Counselor will complete a counseling document that both you and the Law Counselor will need to sign.
• Once completed, you will be required to take your signed counseling document to the Varsity College
registration room and complete your Varsity College registration (the process is described on the
‘HOW TO REGISTER AT VARSITY COLLEGE’ section above).
• Once you have completed your Varsity College registration and payment, you will be required to pay the
UFS registration fee five (5) working days before attempting to register online with UFS (You can
request the UFS fee schedule from a Varsity College campus).

LETTER OF MOTIVATION
If you have failed the same UFS module twice, you will be required to submit a letter of
motivation to the UFS Dean of the Faculty of Law, requesting an opportunity to continue with your
qualification. Only upon permission granted by the Dean can you continue with your registration
for 2015.
It is very important that you see your Law Counselor on campus as soon as your final 2014
results are released so that you can submit this letter as early as possible. Your Law Counselor
will give you more information/guidance regarding this letter.
COURSE CONTROL DAY
Ensure you double check your modules registered for are at Varsity College and UFS. No
amendments will be made to your registration after the Course Control Day by UFS. The exact
date for 2015 will be communicated to you by your campus Head of Department (HOD).
INTERNATIONAL STUDENT REQUIREMENTS

B.4CHANGING YOUR REGISTRATION AT VARSITY COLLEGE
In terms of clause 10.2.7 and 10.2.10 of the Varsity College Registration Contract of Enrolment, the contract
may not be cancelled and you are liable for the full contractual amount.
Should you wish to apply to deregister from a module/subject during the year, please note the following:
1. All applications must be submitted with required proof, where applicable. All applications for
subject/module deregistration will require approval from the Principal/Senior Deputy Principal.
2. If approved, a non-refundable amount will be made available in the form of a pro-rata fee credit.
This may be utilised by the student or immediate family members towards full-time study or studies with
The Business School at Varsity College within 12 months of the application being approved.
3. Immediate refund will apply only if module/s cannot be offered or pre-requisite/entrance requirements
have not been met as per clause 10.2.7.
4. The fees due would be dependent on the point in time at which this application is received, as per clause 10.2.10.
5. Lectures will be billed on a pro-rata basis, and the account payer will remain liable for any lectures
that have taken place up to the point in time that this application is received.
6. If there is a credit balance on the account, once the pro-rata fees have been processed, the account
payer may apply for a refund.
B.5CHANGING YOUR REGISTRATION AT UFS
If you wish to cancel any of your modules, you can do so by logging on to your Campus Solutions profile via
www.ufs.ac.za/register2015 using your Novell username and password, and making the necessary changes.
Please note that modules can only be cancelled up to a certain date. Thereafter students will only be able to
discontinue a module, but will still be liable for the fees. The 1st and 2nd semester cancellation dates will be
outlined in the UFS fee schedule.
Important to note: The online system will only be open for cancellations/discontinuations during the semester.
Once the exam period starts, students can no longer discontinue from any module for that particular semester.

C. VARSITY COLLEGE
STUDY EXPENSES
A reminder that students who study the UFS LLB degree programme at Varsity College will pay:
• Varsity College directly for tuition support.
• UFS directly for the modules they are registering for through UFS.
The below information only deals with fees due to Varsity College. Please see the section entitled
UFS STUDY EXPENSES for more information on UFS fees.
C.1 PAYMENT OPTIONS AND INSTALMENT PLANS
Please refer to the Schedule of Fees, and the table on page 9 for examples of payment deadlines.
The following payment options and instalment plans are available:
FULL SETTLEMENT
This is a once-off payment of the Tuition Fee. Payment is due in full on or before 17 January 2015.
Full settlement is a lower value amount than the 3, 6 or 9 month instalment plans.
3-MONTH INSTALMENT PLAN
The deposit amount is due on or before registration and the balance is due over the next 3
consecutive months. This is a lower value amount than the 6 or 9 month instalment plans.
6-MONTH INSTALMENT PLAN
The deposit amount is due on or before registration and the balance is due over the next 6
consecutive months. This is a lower value amount than the 9 month instalment plan.
9-MONTH INSTALMENT PLAN
The deposit amount is due on or before registration and the balance is due over the next 9
consecutive months.
EARLY SETTLEMENT
This is a once-off full payment of the Tuition Fee offering a 5% discount on the full settlement
payment option. This payment must be received on or before 31 December 2014. If payment is
received after this date, the full settlement option then becomes applicable.

C.2 ADDITIONAL CHARGES
REPEAT MODULE FEES: are charged where a student is required to repeat a module of the UFS LLB degree
qualification in order to progress. Repeat modules will be charged at a pro-rata fee per module. The fee amount, where
applicable, is available at your chosen campus. Please note, in line with academic programme criteria, students are
only able to register for a maximum number of subject credits per academic year. Please ensure you speak to your Law
Counselor before completing this section.
SPORTS CLUB FEE: R200 is charged to all students who join the Varsity College Sports Club. This entitles students to
participate in any one of the organised sporting activities on campus and to purchase Varsity College sports attire. The
fee excludes annual subscription fees that may be required to join open clubs. This fee does not include licenses that
may be required by national sporting bodies to officially participate in events.
INTERNATIONAL STUDENT LEVY: International students registering for the first time at Varsity College will be subject
to an International Student Levy of R5000, payable upon registration. Returning international students will be required to
pay R4000.
LATE REGISTRATION FEE: A late registration penalty fee of R1000 will apply to returning students who do not meet the
registration deadline of 30 January 2015.
C.3 PAYMENT DUE DATES
Fee instalments are due on or before the last day of every month. In the event of a payment not being received by the
due date, Varsity College reserves the right to deny the student access to the campus. The student will then be barred
from attending lectures or activities on campus until such time as the arrear amounts are paid in full.

PLEASE NOTE: Varsity College reserves the right to recalculate the fees due should the account payer default on the
payment option selected.
C.4 PAYMENT METHODS
NO CASH PAYMENTS ON CAMPUS
In the interest of safety and security, cash payments are not accepted on campus and
we request that you make any cash payments directly into the campus bank account
(please see the relevant campus banking details on page 12).
Payments by means of cheque, credit card or debit card may be made
at the campus cashier.

DIRECT BANK DEPOSITS
Cash or cheque payments may be deposited at any branch of ABSA Bank.
Please ensure that the deposit slip is completed accurately as follows:
• Add the campus name after the words ‘VARSITY COLLEGE’ e.g. ‘VARSITY COLLEGE – PRETORIA’.
• See page 12 for the correct banking details for the campus that you are registering at. Payments into the incorrect
campus bank account will cause a delay in crediting your account and will cause your account to go into arrears.
• Insert accurate depositor details and contact telephone number otherwise we will be unable to contact the depositor
in the event of a payment query.
• Ensure that the STUDENT NUMBER is used as the payment reference. If the student number is not available at the
time of payment, then please use the name and ID number of the STUDENT. Please fax the deposit slip to the
campus finance department as proof of payment and retain the original for your records (see the back of the booklet
for campus details).
C.5 UNPAID/RETURNED CHEQUES OR DEBIT ORDERS
Unpaid cheques or rejected debit orders will incur a R200 administration charge and, in addition, Varsity College
reserves the right to reverse any discounts previously allowed should the terms and conditions of such discounts no
longer be met.
C.6 STUDENT LOANS
Student loans are provided by certain registered financial institutions, such as banks. These loans are structured in such
a way that during the time you are studying all that needs to be paid on a monthly basis is the interest accrued on the
amount you have borrowed. Only when you complete your studies and enter the working world, will the capital amount
of your loan need to be repaid. Should you require a list of institutions that can provide advice or assistance, please ask
a Student Advisor.

BURSARIES OPPORTUNITIES
Below are the various categories of awards and bursaries available at Varsity College. Should you meet any of the award
and/or bursary criteria, please complete the bursary application in Section 8 of the Registration Contract.

Any student achieving a National Senior Certificate pass with an average of 80% across seven subjects in 2014 qualifies for a bursary of R4,000 in 2015. Should the student have more than three selected electives, the best of
the three will be considered.
Any student attending lectures at Varsity College in 2015, who obtained a 75% aggregate for a programme
registered for in 2014 at Varsity College, qualifies for an award in the amount of R4,500 in respect of 2015 fees.

SPORT AWARDS
Any student who received:
National Senior A Colours (Open) during 2014, should see the campus Principal to discuss an award for 2015.
National Senior B Colours (Open), National Junior A Colours (U23/U21/U19 etc.) or National School A Colours
during 2014 qualify for a R3,000 award in respect of 2015 tuition fees only.
National Junior B Colours (U23/U21/U19 etc.), National School B Colours or Provincial Senior A Colours (Open)
during 2014, qualifies for a R2,000 award in respect of 2015 tuition fees only.
Provincial Senior B Colours, Provincial Junior A Colours (U23/U21/U19 etc.) or Provincial School A Colours
during 2014, qualifies for R1,500 award in respect of 2015 tuition fees only.
Provincial Junior B Colours (U23/U21/U19 etc) or Provincial School B Colours during 2015, qualifies for a
R1,000 award in respect of 2015 tuition fees only.

SPORTS LIFE BURSARY
Any student interested in being a club captain and interested in the administration of one of the following sports:
mountain biking, surf skiing, canoeing, golf, surfing, triathlon, multisport and running, should submit a one page
Sports CV to the Vice-Principal Marketing who will then set up an appointment with you to discuss a possible
bursary for 2015.
4. CAMPUS SPORTS BURSARIES
4.1 Each site runs selected campus team sports bursaries. Please contact your
campus to confirm sport bursary opportunities.

LEADERSHIP AWARDS
Any student who was Head Prefect, or equivalent, of a school during 2014, is
registered for a full complement of subjects/modules and is attending lectures at
Varsity College in 2015, qualifies for a R 6,000 award in respect of 2015
tuition fees only.
Any student who was Deputy Head Prefect, or equivalent, of a school during
2014, is registered for a full complement of subjects/modules and is attending
lectures at Varsity College in 2015, qualifies for a R 3,500 award in respect of
2015 tuition fees only.

STUDENT SIBLING AWARD
Any immediate family unit which has more than one member attending full-time
lectures at Varsity College in the same year will qualify for a 10% award on each
member’s fees for 2015.

OTHER
Additional awards and bursaries for academic and sport are available, and are
specific to individual campuses. Ensure that you speak to a Student Advisor from
your chosen campus before selecting this option.

CONDITIONS
Please note that all awards, bursaries and scholarships are subject to the following conditions:
Bursaries may only be applied for when the following conditions are met:
a. The Independent Institute of Education (The IIE) higher certificates, diplomas and degrees: a full complement of
subjects must be registered for The IIE programmes.
b.All subjects/modules registered for a specific examination sitting must be passed at that sitting. Subjects/
modules passed in supplementary examinations will not be considered.
c. Bursaries are in respect of 2014 achievements and are applicable to 2015 tuition fees only.
d.While more than one category of bursary may be applied for, the maximum amount of bursary support per student
per year is up to R6,000, with the exception of categories 3, 5 and 6, where the bursary values may be higher.
e.Should the account fall into arrears and payments have not been made according to the payment plan selected,
Varsity College reserves the right to cancel the bursary.
f. Should a registration contract be cancelled, the bursary awarded will be reversed.
g.Recipients of bursaries are committed to providing a minimum of 20 hours of active assistance/support to
The Independent Institute of Education/Varsity College with the exception of 3.1, where the requirements are
higher and are stipulated in a separate agreement that the student will need to sign.
h.Bursaries apply to full-time studies only.
i. Please note: Bursary applications will not be considered if:
•
They are not received by 28 February 2015 for all programmes.
•
They are not accompanied by the necessary documentary evidence (e.g. testimonial, exam
results, letter on sports union letterhead, etc.).

EXPENSES
As mentioned earlier in this registration guide, students are required to pay Varsity College
and UFS separately. For a breakdown of fees due to UFS and the payment deadlines,
please see the UFS fee schedule document available at a Varsity College campus.
D.1 PAYMENT METHODS
DIRECT BANK DEPOSITS
Cash or cheque payments may be deposited at any branch of ABSA Bank.
Please ensure that the deposit slip is completed accurately as follows:
• Insert accurate depositor details and contact telephone number.
• Ensure that 100 directly followed by your 10 digit UFS student number (eg 1001234567890) is used as the payment
reference. This is very important as UFS will not be able to pick up who made payment if you use an incorrect

E.1 PROGRAMME START DATES
All UFS programmes start on the 2nd of February.
E.2 TIMETABLES
Varsity College will notify you in advance of the start time of your lectures. You will receive your comprehensive
timetable on the first day of lectures.
E.3 ACADEMIC MATERIAL
If you have paid the minimum required amount based on your payment option, you will receive a Varsity College powerpack per module (where applicable).
You will also receive a UFS study guide per module (where applicable).
Upon Varsity College registration, you will receive a UFS LLB degree prescribed textbook list. You are required to
source and purchase these textbooks.
E.4 YOUR RESPONSIBILITIES
KEEP YOUR CONTACT DETAILS UPDATED
Please keep your contact details up-to-date by informing us if your cellphone number, e-mail address or street/postal
address changes. Without your updated details we will not be able to send you any updates, changes or important
information on a regular basis. You must please update your personal details on the student portal, should any
particulars change during your studies.
COURSE CONTROL DAY
Students must check their registration by this date. Any changes to registration (i.e. modules) after this day will not be
made by UFS. The date of the Course Control Day to be confirmed.
VCCONNECT E-MAIL ACCOUNT
You will be issued with a vcconnect e-mail account that will be used throughout your studies. All important information,
updates and general communication from Varsity College will be sent to your vcconnect account, so remember to keep
an eye on your e-mails on a daily basis.
UFS NOVELL E-MAIL ACCOUNT
Upon completed UFS registration, UFS will issue each student with a Novell e-mail address that will be used throughout
your UFS LLB degree studies. All important information, updates and general communication from UFS will be sent to
your e-mail account so it’s important to check it regularly.

MISSED LECTURES
If you miss any lectures, you need to ensure that you find out from
your lecturer what work was missed. You will have to catch-up and
go through the work to ensure that you are up-to-date with the work.
UFS MISSED ASSESSMENT APPLICATION FORMS
It is important to familiarise yourself with the various UFS Missed
Assessment Application Forms available from your Head of Department
(HOD). These forms are used if you have missed a test/exam due
to illness or death in the family etc. Speak to your HOD for more
information regarding what supporting documentation is required with
your application, as well as the required submission deadlines.
UFS SEMESTER MARK
This refers to the entry requirement for all UFS exams. Speak to
your HOD regarding the Semester Mark required for you to qualify
for exams.
VARSITY COLLEGE STUDENT CODE OF CONDUCT
This code outlines the rules, definitions of misconduct, procedures
for handling misconduct and penalties associated with misconduct.
It also outlines how complaints from students should be handled.
You will receive an electronic copy of the code upon completion of
your registration and will be requested to sign an acknowledgment
form during your first day in class, indicating that you have read and
understood the code.
TIMETABLES AND PROGRAMME ASSESSMENT SCHEDULE (PAS)
Always ensure that you have the most updated timetables and PAS
or you might miss out on important updates. Your timetable indicates
a weekly schedule for the semester and the PAS document contains
the dates and times of all your assessments for the year. You will be
notified of any updates and changes on both these documents, so
please remember to keep an eye on your vcconnect e-mail address.
ASSIGNMENT SUBMISSION DATES AND TIMES
Give yourself enough time to complete all your assignments on time,
as you will be penalised for late submission. It is important to note that
assignments must be submitted via Turnitin on UFS Blackboard (unless
otherwise communicated) AND a hardcopy must be handed in to the
campus before 17h00 on the due date. You will be required to complete
an assignment cover sheet with each submission. Please keep the
submission receipt in a safe place as proof of submission.
UFS BLACKBOARD TURNITIN
All assignments must be submitted to a plagiarism detective
site, namely Turnitin through UFS Blackboard (unless otherwise
communicated). Once your assignment has been uploaded, you will
have to print a hard copy of the assignment from Turnitin with the
originality report, to submit at reception or to your HOD, on or before
the due date of the assignment.

STUDENT IDENTIFICATION
You will be issued with a Varsity College student card once your registration is complete. It is important that
you have your Varsity College student card with you at all times, especially when writing tests and exams.
PLAGIARISM
It is important that you attend the workshops offered on campus to familiarise yourself with the required
referencing of work in your assignments. Plagiarism is academic theft and will be treated very seriously.
PERSONAL ITEMS
Please take care of your personal items and do not leave your belongings unattended.
GENERAL COMMUNICATION
Varsity College has an entire team of professionals that are available to support and assist you throughout
your studies. Please communicate with the relevant staff for any assistance you might require. Communication
is key, and you need to keep us informed at all times.
MERIDIAN HOUR
Once a week, an hour is set aside on the timetable to allow students to engage with the community, participate
in social activities and enjoy guest speakers. These events are arranged by the Sports and Social Co-ordinator
(SSC), the Student Relations Manager (SRM) and the Career Centre Co-ordinator. Get involved and enjoy the
benefits of taking part in the campus events.
ACADEMIC CREDITS
You will have the option to apply for academic credits on your current programme if you have previously
studied at another tertiary institution. More information is available from your HOD and your academic credit
application needs to be submitted with your UFS application form.
OTHER GENERAL RESPONSIBILITIES OF THE STUDENT
• To contribute to a harmonious and positive learning environment that is respectful of all those that
are in the environment.
• To comply with the rules, policies and procedures of The IIE (which includes the assessment
policy and Student Code of Conduct).
• To comply with the rules, policies and procedure of the UFS.
• To participate actively, honestly and positively in all activities that constitute the teaching
and learning process.
• To monitor your own progress throughout your study and to seek advice when you experience any
difficulties, using the tools available such as the SAM Student Portal and vcconnect.
• To ensure that you are familiar with when and how to contact your Head of Department (HOD).
• To purchase required textbooks timeously, before lectures commence.
• To ensure that your contact details are always up-to-date on the student system (SAM Student Portal).
• To ensure that you have a student card at all times when on an IIE site of delivery (this constitutes the
student’s official identification on campus).
• To ensure that you are familiar with all platforms of communication (SAM Student Portal, vcconnect,
Blackboard, SMS, etc.) and to respond to the communication appropriately.

E.2 LIBRARY
You are encouraged to utilise the library, which is the hub of information, media and digital literacy. The library offers
study areas, computer access and students can take advantage of the journals, reading material and electronic
databases that are available for research purposes and assignment preparation.
E.3 ACADEMIC STUDENT SUPPORT
Academic Development Co-ordinators (ADCs), Library staff and Full-Time lecturers are available to support and assist
you with the transition to tertiary studies. They are also available to assist with content related questions. You will have
an opportunity to meet these key staff members during the first month of the academic year.

Student wellness, citizenship and community engagement are focal areas in the holistic development of our students.
Each of our campuses has a Student Relations Manager (SRM) who works with our students throughout their studies and
encourages students to be involved in various engagement activities through VC Cares’ monthly campaigns. The SRM
team is also qualified to assist with primary counselling should any student require this support.
E.5 SPORTS, SOCIAL AND CULTURAL ACTIVITIES
At Varsity College, we encourage all students to lead a balanced and healthy lifestyle. Our social calendar ensures
that there is something for everyone - a range of individual or team sports, a variety of cultural activities where you can
explore your talents or if you are a social butterfly, we have many fun social events that will show you what a balanced
Varsity College lifestyle is all about.
If you are interested in participating in sport at Varsity College, please join the Varsity College Sports Club. The annual
registration fee is R 200, which allows you to participate in any sport offered at Varsity College. Please complete the tick
box in Section 7 of the Payment Options on the registration contract to register for the Sports Club. During Orientation
Week, all students will have an opportunity to find out more specific details in this regard as they meet the campus
Sports & Social Co-ordinator as well as with the Student Liaison Body (SLB).

The Career Centre is a free facility available to all current and graduated Varsity College students. Each campus has a
Career Centre and a Career Centre Co-ordinator who students and Alumni can access for career advice and assistance.

G. LEGAL STUFF
G.1 TERMS & CONDITIONS OF REGISTRATION
IMPORTANT NOTICE:
By entering into this registration contract you accept these conditions, as well as any rules or regulations and the
code of conduct contained in the policies of The Independent Institute of Education (Pty) Ltd (“The Institute”) or
Varsity College, which form part of this contract (“the contract”). If there is any provision in this contract that you do
not fully understand, please ask for an explanation before signing.
Clauses 1.2.3, 1.2.12, 1.3, 1.4.4 – 1.4.8, 1.4.16, 1.4 18 and 1.4.19 are in bold text and:
(i) May limit the risk or liability of The Institute or Varsity College or a third party; and/ or
(ii) May create risk or liability for you; and/ or
(iii) May require you to indemnify The Institute or Varsity College or a third party; and/ or
(iv) Serve as an acknowledgement, by you, of a fact.
You should take careful note of these clauses because they are important. Your rights in this contract are in
addition to, and do not affect, your statutory rights and remedies under consumer protection law. If there is a
conflict between this contract and consumer protection law, your statutory consumer protection rights will prevail.
Nothing in this document is intended to, or must be understood, to unlawfully restrict, limit or avoid any rights or
obligations created for either you or The Institute or Varsity College in terms of the Consumer Protection Act and
any similar legislation.
1.1. Definitions:
1.1.1.
“Application fee” means a fee charged by The Institute to process a student’s application,where relevant.
1.1.2.
“Attend” shall include participation by the student in class, whether virtual or physical.
1.1.3.
“Conditional registration” includes the registration of a student:
1.1.3.1. Who fails to meet the entrance requirements of the applicable external provider or examining
body or The Institute; or
1.1.3.2. Who fails to provide the necessary documentation required by The Institute; but is nonetheless
registered conditionally by The Institute, subject to the student fulfilling conditions prescribed by,
or providing the outstanding documentation required by, The Institute.
1.1.4.
“Contract amount” means the fees and other charges payable by the student in terms of Section 9 of this
contract, including tuition fees and, unless otherwise specified, registration/ application fees and deposits,
but excluding notes, textbooks, stationery or other items (which may be charged for separately).
1.1.5.
“Due date” means the date(s) specified in Section 9 hereof for payment of the contract amount, or any
part thereof.
1.1.6.
“External provider” means an entity, separate and independent from The Institute, which is responsible for
conferring the module(s)/ programme(s)/ qualification(s).
1.1.7.
“Personally identifiable information” means information that can be used on its own or with other
information to identify, contact or locate a person or to identify an individual in context, and shall include
academic and credit information.
1.1.8.
“Registration fee” means a fee charged for the registration of a student by The Institute.
1.1.9.
“Third party service partner” shall include any external provider or a service party which provides academic
assistance or products or services to the student and which is accessible to the student only by virtue of his/
her registration with The Institute.
1.2.
1.2.1.

Financial:
The signatory/ies confirm(s) that he/ she/ they will be jointly and severally liable to The Institute for payment
of the contract amount, subject to the terms and conditions set out below.
Payment of the contract amount in full and in terms of payment method “A” must be received on or before
the due date, failing which the contract amount as set out in other methods in this contract may, at the sole
discretion of The Institute, be charged, and The Institute may, at its election, issue the signatory/ies with new
payment details in accordance therewith.
1.2.3.
By signing these terms and conditions the signatory/ies is/ are committing to make payment of the full
contract amount referred to in 1.2.2 above; except as set out in 1.2.9 below. Failure by the student to
attend lectures will not reduce liability for payment of the full contract amount.
1.2.4.
The registration fee, where applicable, is non-refundable.
1.2.5.
The signatory/ies will be responsible for the cost of transport and any specialised consumables used during
the module/ programme/ qualification, including but not limited to: specialised stationery, printing of
assignments, toolkits or any other printed or electronic material.
1.2.6.
All requests for cancellation shall be submitted in writing to the campus principal for further consideration in
accordance with this contract.
1.2.7.
This contract may be cancelled by The Institute if —
1.2.7.1. The student fails to satisfy the entrance requirements of the applicable external provider or
examining body or The Institute (as per 1.1.3.1) prior to commencement of lectures (in which
event the signatory/ies shall be entitled to a refund of the contract amount, or any portion thereof
paid to date, excluding any registration/application fee, and shall not be liable for payment of the
balance of the contract amount);
1.2.7.2. A student who is conditionally registered in terms of 1.1.3.1 and who in the view of The Institute
has taken all reasonable steps to comply with the conditions set (whether by The Institute or a
third party) within the specified time period but, in any event, after the commencement of lectures
has failed to meet those conditions (in which event the signatory/ies shall be entitled to a refund
of the contract amount, or any portion thereof paid to date, in respect of the unexpired portion
of the module(s)/ programme(s)/ qualification(s) only, and shall not be liable for payment of the
balance of the contract amount);
1.2.7.3. Insufficient enrolments are received by The Institute to justify, at The Institute’s sole discretion,
which will not be unreasonably exercised, the running of the module(s)/ programme(s)/
qualification(s) for which the student has enrolled (in which event the signatory/ies shall be
entitled to a refund of the contract amount, or any portion thereof, paid to date, and shall not be
liable for payment of the balance of the contract amount).
1.2.8.
This contract is cancelled if the student has been expelled either by Varsity College or a third party service
provider following due disciplinary process (in which event the fees will not be refunded and the signatory/ies
will remain liable for payment of the balance of fees).
1.2.9.
If a student is suspended from attending any lecture, module, programme, etc. for any reason whatsoever,
but not expelled, following due disciplinary process (where relevant), the fees payable by the signatory/ies
will not be adjusted or refunded and the signatory/ies will remain liable for payment of the full
contract amount.
1.2.10.
Signatory/ies may only cancel the registration by submission of a written and signed notice of intention
to discontinue attendance in the prescribed format to the campus principal; provided, however, that
the signatory/ies remain/s liable for the balance of the ees, or The Institute shall be entitled to retain the
fees as a reasonable cancellation fee to cover any costs, including administrative costs, incurred by
The Institute on the following scale:

Should any monies due by the student or the signatory/ies under this contract not be paid on the due date,
the student may be excluded from (i) attending further lectures, and/ or (ii) access to the campus and
all other facilities, and/ or (iii) graduation, until such time as all monies due have been paid in full, however,
it is the students responsibility to hand in all assignments and sit all assessments scheduled during this time.
The Institute may withhold results of any assessments conducted until such time as all fees have been
settled in full. This is without prejudice to any other rights of The Institute. Exclusion, as set out above, will
not relieve the signatory/ies of any obligation to pay the contract amount, or any balance then outstanding.
The signatory/ies will remain liable for all expenses incurred by The Institute as a result of any breach on
his/ her/ their part of this contract and acknowledge(s) that this may include legal, tracing and
collection costs.
If any payment due under this contract remains unpaid for a period of thirty (30) days after the due date, the
entire outstanding balance of the contract amount will immediately become due and payable. In addition
thereto, interest on the outstanding amount will be charged at the maximum rate permitted by law, from time
to time, as determined under the National Credit Act (Act 34 of 2005).
A certificate issued by a director of The Institute certifying the balance owing, from time to time, shall be
good and sufficient proof (prima facie proof), for all purposes, of the amount owing by the signatory/ies in
terms hereof.
The relevant finance department of Varsity College must be informed immediately, in writing, should the
signatory/ies hereto change address or should the student change his/ her module(s) or programme(s),
subsequent to submission of the registration documentation.
1.3. Indemnity:
1.3.1.
Unless The Institute or its representatives have intentionally, or with gross negligence, acted or failed
to act, neither The Institute nor any of its representatives shall be liable for loss or damage (excluding
death or personal injury) suffered by the student whilst enrolled at Varsity College. The signatory/ies
hereby indemnify/ies The Institute, including Varsity College, against all claims made by any person in
respect of any damage arising out of any grossly negligent or intentional acts or omissions by
the student.
1.3.2.
If caused by the intentional or grossly negligent actions of the student, whether on or off campus, the
signatory/ies hereby indemnify/ies The Institute, including Varsity College, for damage to The Institute’s
property, injury to, or death of any student, or loss or damage to personal effects and possessions.
1.3.3.
All signatories to the contract:
1.3.3.1. Consent to the student participating in the activities of Varsity College, whether conducted on or off campus, including but not limited to games, cultural, social and sporting activities, and tours and excursions of vocational educational, social, sporting or general interest;
1.3.3.2. Understand and accept that such activities may entail some risk of physical injury and shall be
undertaken at the student’s own risk and that such activities will not necessarily have the support of, or be subject to, the supervision or control of The Institute, including
Varsity College;
1.3.3.3. Undertake to indemnify The Institute, including Varsity College, its associated companies,
employees, subcontractors and representatives acting in such capacity, against all claims
which may arise in connection with any loss, damage or injury to the person or property of the
student in the course of such activities unless caused by the gross negligence of The Institute,
including Varsity College, its associated companies, employees, subcontractors and
representatives); and
1.3.3.4. Confirm that in the event of the student being injured whilst participating in any activity, an employee or representative of The Institute is hereby authorised to attend to such injury and
to act with the same authority as the parent (in loco parentis) and to consent to any medical
treatment on behalf of the student should consent be required for medical reasons on an urgent basis and should it not be possible for the parents or next of kin to be contacted
timeously. All signatories further acknowledge that they shall be responsible for the payment
of any costs associated with such medical treatment and related costs which may be incurred.

1.4. General:
1.4.1.
The signatory/ies warrant/s that the information submitted on the application form, if any, and registration
contract is both true and correct.
1.4.2.
The Institute reserves the right to cancel and/ or amend certification, programme syllabi, commencement
and termination dates and timetables without prior notice, with which discretion shall be exercised
reasonably, to accommodate changing circumstances.
1.4.3.
The Institute, at its sole discretion, which shall be exercised reasonably, may combine classes of similar
academic level and content or cancel tuition in any programme or module advertised and offered on an
insufficient demand basis; provided that the contract amount shall be adjusted accordingly.
1.4.4.
The onus remains on the student to ensure that he/ she is registered for the correct subject(s)/
module(s)/ programme(s)/ qualification(s). The student must familiarise him/ herself with the registration
requirements, subject selection criteria, rules, regulations and prospectus, as well as any rules regarding
the maximum completion time for the chosen qualification. Accordingly, the signatory/ies and, more
specifically, the student, warrant(s) that he/ she/ they has/ have investigated the programme concerned
to his/ her/ their satisfaction prior to the signing of this contract and further absolve The Institute,
including Varsity College, from any liability resulting from any incorrect registrations, or assessment for
any reason whatsoever.
1.4.5.
The onus remains on the student to obtain certification of any existing qualification awarded by an
authority or institution outside of South Africa from the South African Qualification Authority and/ or
Higher Education South Africa, as the case may be.
1.4.6.
The signatory/ies confirm(s) that he/ she/ they is/ are aware of whom the conferring body is for the
qualification or programme of study for which the student registers (student’s programme of study) as
well as any particular information in relation to accreditation and registration of the student’s programme
of study. The signatory/ies confirm(s) that he/ she/ they are responsible for registering with the external
examining body, if any, for the student’s programme of study, and for otherwise complying with any of the
requirements of the external examiner, including the payment of any fees.
1.4.7.
A copy of The Institute’s rules/ regulations and student code of conduct are available on Varsity College’s
website and the student will be provided with a copy within seven (7) days of commencement of classes,
or earlier upon request. The student has 21 days within which to read and acquaint him/herself with the
content thereof, and to familiarise him/ herself with their application to the module(s)/ programme(s)/
qualification(s) for which the student is registering. Thereafter, the student will be regarded as having
read and understood such rules, regulations and codes of conduct, and as having undertaken to, abide
by, and comply with, the terms thereof, as they may be amended from time to time.
1.4.8.
By signature hereof the signatory/ies consent(s) to The Institute utilising electronic methods of
communication (including SMS and e-mail) in matters of an academic and financial nature, or relating to
scheduling of lectures, campus activities or similar issues. The Institute may, from time to time, send the
student and/ or the signatory/ies marketing material by electronic methods of communication unless the
student and/ or signatory/ies have indicated below that they do not wish to receive any marketing
material by such methods.
1.4.9.
The Institute may, from time to time, introduce rules and regulations deemed necessary relating to module
attendance, student conduct and other related matters.
1.4.10.
The student acknowledges that academic integrity is taken very seriously by The Institute. Any violations
of academic integrity by the student including, but not limited to, cheating or plagiarism, will result in
disciplinary action being instituted against the student, which could result in expulsion. The provisions of
1.2.7, 1.2.8 and 1.2.9 will be applicable.
1.4.11.
In the event of an act of God, war, insurrection, industrial or student unrest, natural disasters or other such
events that may cause the temporary cessation of tuition or classes, The Institute shall use its best
endeavours to resume lectures as soon as is practically possible; however, no guarantees can be made in this regard.
1.4.12.
This contract and the rights conferred herein may only be altered, varied, deleted or cancelled if in writing and
signed by both/ all parties. No waiver, whether specific, implicit or by conduct, shall be effective unless in
writing and signed by both/ all parties. The rules and regulations of Varsity College or The Institute, including
the code of conduct may, however, be amended from time to time and shall be deemed to be effective five
(5) days after publication of such changes on Varsity College’s website at www.varsitycollege.co.za.

The student and/ or the signatory/ies understand(s), accept(s) and consent(s) to The Institute collecting
personally identifiable information about the student or signatory/ies. The student and the signatory/ies
confirm(s) that The Institute, including Varsity College, has the right to view and obtain the student’s results
from external providers. In addition, the student and the signatory/ies consent to The Institute providing
personally identifiable information to the conferring body or any other third party academic partner; and/
or providing confirmation of graduation or non-graduation to external bodies; and/ or verifying students’
results upon request from external provider. Such information will only be provided insofar as may be
required for the purposes of this contract and for the studies being undertaken by the student.
The Institute may provide the student with access to its IT systems and networks and is therefore entitled to
ensure that the student’s use thereof is appropriate to the purpose for which it is being provided, namely in
connection with the student’s studies and to enable the student to communicate with other students and
lecturers. The student understands and accepts that The Institute may, at its discretion, monitor
communications created, stored, transmitted, spoken, sent, received or communicated by the student on,
over or in The Institute’s systems and networks and intercept, acquire, read, view, inspect, record and/ or
review any and all such communications, and the student consents to this.
The student and signatory/ies cede and assign to The Institute all rights, title and interest in and to any
intellectual property that may be created in the course of any study or research project that the student
undertakes or may undertake at Varsity College, or that the student develops or may develop with the
assistance of Varsity College’s equipment and/ or facilities. The student and the signatory/ies, furthermore,
consent to the outcomes of any work undertaken by the student being used by The Institute in marketing and
promotion activities (including any competitions into which student work is entered by The Institute).
The student hereby consents that Varsity College may, at its discretion, report to the parent, guardian
or bursar of the major fee contributor any breach of rules and regulations by the student or on any other
matter concerning the progress, conduct, wellbeing or health of the student which may include
personal information.
International students who are not permanent residents of the Republic of South Africa and who wish to
enrol at Varsity College are required to obtain a study permit from the South African Department of Home
Affairs and to ensure that this permit is valid for the full period of study. If students are granted asylum or
refugee status or any other similar status which is subsequently withdrawn or not renewed, as the case
may be, by the relevant authorities, this contract is automatically cancelled; the student and/ or
signatory/ies, however, remain liable for the full balance of the fees. The study permit must be in favour of
The Independent Institute of Education (Pty) Ltd. Fees are neither transferable nor refundable in respect of
students who do not comply with these requirements, unless a study permit has been denied. Proof thereof
must be submitted to Varsity College before a refund will be considered.
No guarantees, promises or representations of any nature are made by Varsity College pertaining to
the student’s enrolment for programme(s) selected by the student with regard to the student’s success or
failure or otherwise.
The Institute may use any images (photograph or other) taken of the student in any advertising without
restriction. The student herein consents to such use.
Registration is conditional pending the submission by the applicant and successful assessment by the
campus personnel of the documents required to complete The Institute’s administrative process of
registration. Failure to submit any of the required documentation will result in the student being unable to
graduate. The onus is on the student to ensure that the campus has copies of the documents and to
resubmit as may be required.
The parties choose as his/ her/ their address for service and delivery of legal notices and communications
(domicilium citandi et executandi) in connection with this contract the following addresses: (i) the signatories’
address as set out in Sections 2 and 4 of the contract; (ii) The Institute and/ or Varsity College — ADvTECH
House, Inanda Greens Business Park, 54 Wierda Road West, Wierda Valley, Sandton, 2196 and marked for
the attention of the Director of The Institute.
