HOW TO APPLY
Once you have read the Mountbatten website, including academic program pages, and understood this
Information & Application Pack you will be ready to apply.
Make sure you:
•
Have read and fulfil the criteria on our website page ‘Eligibility’.
•
Have your completed CV available in electronic format (MS Word ‘.doc’ only) for uploading to our
website.
•
Have your completed Personal Statement available in electronic format (MS Word ‘.doc’ only) for
uploading to our website.
•
Have your Photograph available in electronic format (JPEG image ‘.jpg’ only) for uploading to our
website. Images must be exactly 140 pixels wide and 180 pixels high.
•
Have the information and contact details (email address) for each of your three referees.
To access our online application system, follow the instructions on the How to Apply Page of our website.
You will be asked to sign up to my.mountbatten.org and activate your account via email.
Once your account is active you will be able to Log In and begin working on your application documents.
You will need to submit three reference requests, complete the application form and upload your CV, Personal
Statement, and Photograph. You must submit your application online once all these items are complete.

NOTES FOR APPLICANTS
APPLICATION FORM
Complete the application form carefully and accurately, paying close attention to spelling and grammar.
Applications with mistakes may disqualify you from consideration. Please note that the information you supply
will be used throughout the application process and subsequently your year if you are successful. This
applies to both content and format.
CV (CURRICULUM VITAE) & PERSONAL STATEMENT
The CV and Personal Statement are used to sell you to a potential Host Organization. They should be an honest
reflection of you. A Host Organization will not consider you a suitable candidate if your documents contain
spelling and grammatical errors, so make sure to proof read and spell check all documents before submission.
The CV (called a Resume in the USA) is a very important part of the application process. It should reflect you at
your best and must contain accurate information about your education, work experience and skills. Remember,
your chances of securing a training placement in New York will be improved if you have proficient MS Office
skills. A sample US style, one page resume, is provided in this pack to help you with the format. We encourage
applicants to use this format as much as possible although we prefer you to include ALL of your work experience
to date even if this means extending your CV onto a second page.
The Personal Statement tells Mountbatten and a prospective Host Organization about you, your reasons for
undertaking a year in New York and what you hope to gain from the academic program. Be straightforward,
candid and honest. The format for the Personal Statement is provided in this pack.
The CV and Personal Statement must be created and uploaded in MS Word (*.doc) format. The Personal
Statement should be one page (A4 size).
PHOTOGRAPH
Host Organizations typically look for graduates who are smartly dressed, personable, and who present
themselves professionally. A poor photo can be an instant turn-off. It is well worth a bit of extra effort to ensure
that the photograph you submit is well produced and looks professional. Business attire is recommended. A
friendly smile is always appealing too!
We require an up-to-date, colour, passport-style ‘head and shoulders’ picture taken against a clear background.
The Photograph must be created and uploaded as a JPEG image (*.jpg) format.
REFERENCES
We use an online email / web based reference system.
References are provided in confidence.
We require:
• One academic reference from your university tutor/lecturer/course leader
• Two work (professional) references. Ideally, these should be from your two most recent employers but
exceptions are allowed. We accept references from part-time, internship, and voluntary employers as well
as full-time.
Choose someone who knows you and your work well. The more work-based feedback we receive the better your
application. References prefaced by “I have limited knowledge of the candidate” are of little use. We do NOT
accept:
• References that are submitted after the application deadline date.
• References prepared by family members, family friends or colleagues / co-workers.
• References not submitted via our online application system.
• Paper or faxed references.
It is your responsibility to ensure that we receive all your references by the application deadline for your proposed
intake.

To ensure this, we recommend that you:
1. Contact your referee, explain that a reference request will be emailed to them and CHECK which email
address the forms should be sent to.
2. Double check the spelling of the referee’s email address with the referee themselves and as you submit it to
us.
3. Call the referee and prompt them to check their inbox and submit the reference form to us as soon as
possible.
4. Keep up to date with your application progress. Once a referee has responded to the reference request the
status on your my.mountbatten account will change. This will notify you that the reference form has been
submitted.
PASSPORT
A passport that is in excellent condition, with validity that extends at least 6 months beyond the completion of your
program, and which contains at least one blank page on both sides is required. If you do not currently have a
valid passport in your possession, you may still submit your application. However, you must apply for a passport
immediately.
If your application is successful, you will be asked to bring a copy of the photo page of your passport to your
interview with Mountbatten staff. If you have not received your passport prior to interview, you must be able to
submit proof that you have a pending passport application.

Personal Statement of:
Please use this page to explain why you wish to participate in the Mountbatten program. Demonstrate your reasons for
applying. Tell us what you expect to gain from the training placement and academic program, what you can contribute to a
Host Organization in New York, and how the experience may fit into your long-term career goals. This document provides you
with an opportunity to expand on the information supplied in your application, including your CV. The statement should draw
upon your past experiences (education, employment, interests, etc.) and the knowledge/ transferable skills you have acquired.
One paragraph should focus on why your industry of preference and the training you wish to receive is specifically related to
your past employment and/or your education. Explain the logic behind your industry preferences and how your training
placement in New York will serve as a continuation of what you have learned already, either in education or employment.

APPLICATION DEADLINES
MARCH INTAKE – Applications are accepted from July through to October 1 in the year preceding the program
start date.
AUGUST INTAKE – Applications are accepted from the preceding December through to March 15 of the year of
the program start date.
Your Application Fee must be postmarked no later than the application deadline date in question. It is also
your responsibility to ensure that your references are submitted by the deadline.
If the deadline falls on a weekend or national holiday, we will accept applications postmarked on the following
working / business day.
Applications are not reviewed on a rolling basis, but are considered together following the respective deadline.

PROCEDURES
•
Submit application online and mail Application Fee to the London Admissions Office by the deadline.
•
Application Assessment: Applicants are notified approximately two weeks from the deadline for a particular
intake (March or August) whether their application has been successful or not. A web link with a sign up facility is
emailed to you to view the available dates and times for interview and ‘sign up’ accordingly. You should allow a
whole day for the interview. We normally interview 12 candidates per day. The interview process will start with a
group briefing (30 minutes) at approximately 9:00am. The group will then break up for the individual interviews,
which are scheduled according to the order in which the candidates have signed up on the web link.
•
Interviews are held in April/May for the program beginning in August and in October/November for the intake
beginning in March. These time-scales are approximate and therefore subject to change.
•
Acceptance to Candidate Pool: You will be notified of your acceptance within one week of interview. You will
then have one week to pay the Initial Deposit (GBP £600). Acceptance means that the applicant, having been
interviewed, is considered appropriate for the requirements of the program. Notification of acceptance is always
in writing via email. The Initial Deposit is payable on acceptance to the Candidate Pool irrespective of your
decision to apply for a loan. Acceptance is not a guarantee of placement, since this must ultimately be at the
discretion of the Host Organization.
•
Placement Process: As soon as we receive your cheque for the Initial Deposit, and your updated CV/Personal
Statement, we write a profile for you, create a candidate profile pack (CV, Personal Statement and Profile), and
enter you on a matrix ready for the placement cycle. The matrix lists the candidates and training placements
available. No placement action is taken until the Initial Deposit has been received.
•
Profile Packs are offered to a number of Host Organizations who indicate their preferred candidate choice after a
series of telephone interviews. This process (which can take some time) continues until all placements are filled.
The likelihood of placement and estimated time frame is fully discussed with the candidate at the time of
interview.
•
The percentage of accepted candidates who are placed varies from intake to intake and depends on a variety of
factors. If by the end of placement, Mountbatten has been unsuccessful in placing a candidate, the Initial Deposit
will be refunded unless offers of interviews and/or placements are (in Mountbatten’s sole opinion) unreasonably
turned down. Some candidates may be invited to defer to the next intake.
•
The placement process is complex and subject to decisions made by our Host Organizations, which are
sometimes outside our control. The process can be frustrating for some applicants. Please be assured, however,
that we will do our best to place you as quickly and smoothly as possible.
•
Apply for J-1 Visa: Once you have been offered and have accepted a training placement with a U.S. Host
Organization, further instructions on how to apply for the J-1 Visa will be provided.
•
Transportation to the USA is the responsibility of the trainee / intern. We do, however, recommend sharing
flights with fellow trainees / interns to help us provide you with transportation from Newark airport (not JFK) to
the hotel as a group. This information is included in the Candidate Handbook given to you at interview. If you
choose to fly to JFK airport, we will not be able to greet you, and ask instead that you make your own way to the
hotel. Information on arranging transport from JFK will be provided.

FEES PAYABLE TO MOUNTBATTEN

NOTES ON FEES PAYABLE
Payment of the Application Fee should be by cheque made payable to Mountbatten Programmes Ltd.
Details of when, and how to, pay subsequent fees will be provided at the relevant stage.
We do not accept cash or credit card payments. Wire transfers are accepted. Please contact the admissions
team in London for details. Note: Banks (both the sending and receiving bank) typically charge fees for wire
transfers.
Regrettably we receive bad cheques from time to time. This creates extra work for our offices. In the event that
your payment bounces, a surcharge will be issued to cover our bank charges and administrative costs.
ALLOWANCES PAID TO THE TRAINEE / INTERN (in US Dollars)

Training allowance: USD $1,083 gross, paid monthly in arrears.
A small amount is deducted each month for New York State taxes. The allowance is paid from the first day of
training with the Host Organization.
Accommodation is provided, at no charge, either in a hotel during orientation week, or in Mountbatten’s
designated apartments in Jersey City (Newport), New Jersey, throughout the training / internship year but
excluding the optional 30-day travel period after completion of the program.
SECURITY DEPOSIT
•

A Security Deposit of USD $200 is retained by deducting USD $100 from the first two training allowance
payments. This deposit is returned three months after completion of the training / internship year less any
required payments for breakages, damage to apartment furniture etc., and less any outstanding utility bills.
The security deposit is NOT refunded to trainees / interns who do not complete the training / internship year,
for any reason whatsoever.

Return Airfare – prices vary depending upon the time of year and country / city of departure. Costs typically
range between GBP £400 and GBP £700.
Visa Fees – Applicants are responsible for their own expenses involved in obtaining the J-1 Visa at a U.S.
Embassy or Consulate. This includes:
1. Visa Application Fee (MRV Fee) of USD $160, payable online.
2. Travelling to the nearest Embassy or Consulate for a Visa interview.
3. SEVIS (Student & Exchange Visitor Information System) Fee of USD $180, payable to the U.S.
Government (Department of Homeland Security) via the Internet using a credit card.
Full Visa instructions will be provided at a later date, but those applicants without a credit card should
consider making payment arrangements in order not to delay the visa process. Visa fees are subject to
change without notice.
Additional insurance coverage may be required (for e.g. in the case of pre-existing condition(s) such as
diabetes, etc.).
Personal possessions insurance (optional).
Trainees / interns are responsible for their own electricity and telephone bills in New York, plus in broad
terms, food, travel and entertainment. Mountbatten provides a subsidy of USD $10 per month per trainee /
intern for gas/electricity.
For the administrative convenience of trainees / interns a landline, one telephone, and local telephone service
is provided in each apartment. Approximately USD $10 per month is deducted from the training allowance for
the telephone. Long distance / international calls are not covered – trainees / interns are required to
purchase phone cards to cover these calls.
Approximately USD $1,500 will be needed to cover expenses during the first few weeks – up until the first
training allowance. Mountbatten makes arrangements for trainees / interns to open a US bank account
during orientation week in New York.

ACCOMMODATION IN THE USA
Accommodation is provided by Mountbatten, at no charge, in fully furnished, non-smoking apartments.
Mountbatten maintains some 55 apartments in modern high-rise buildings. These are contained within a
comprehensive, residential, development complex called Newport in Jersey City, on the New Jersey side of the
Hudson River, across from Manhattan’s financial district.
Trainees / interns are obliged to live in the Mountbatten apartments for their entire year.
Facilities
Newport is an attractive 600 acre complex dominating the waterfront. The neighbourhood is home to 8 office
buildings, 13 apartment towers, 3 hotels, a marina, retail mall and parks. Only minutes from the Mountbatten
apartments, you can find a gym (with swimming pool) tennis courts, waterfront restaurants, bars, banks, grocery
stores, a medical centre and the PATH station where trains connect Newport with Manhattan 24 hours a day.
Shopping
In addition to the many shops and cafes, which line Newport streets, the indoor shopping mall, Newport Centre,
contains over a million square feet of shopping facilities plus a vast food court and a 12-screen cinema. The mall
is anchored by four American brand name stores: Sears, Kohl’s, Macy’s and JC Penney. Additional retail facilities
within a 10 minute walk of our apartments include Target, Best Buy, Staples, and the large supermarket A&P.
Location and Transport
Newport faces the Financial District/Wall Street area at the southern tip of Manhattan in New York City. The
PATH is the rail transit system that serves as the primary transit link between New Jersey and Manhattan.
Newport has its own PATH station, which is about 5 minutes’ walk from the apartments. PATH trains operate 7
days a week, 24 hours a day. They run at 5-minute intervals during rush hour and take about 15-20 minutes to
33rd Street in mid-town Manhattan. From its several stops you can change to the New York Subway system.
The PATH train costs USD $2.50 for a single ride (USD $80 SmartLink 30-day pass – unlimited). The fare for a
SingleRide subway or local bus ride in New York City costs USD $2.75 (USD $112 for a 30-day Unlimited Ride
MetroCard). Note: Transportation costs are subject to change. On the New Jersey side, Newport offers access
to every major transport system in the Northeast. Newport is about 14 miles by road from Newark International
Airport, which has daily flights to destinations around the world.
Mountbatten Apartments
Mountbatten leases apartments in four towers known as Waterside Square South, Waterside Square North,
Parkside East and Parkside West.
Each tower has a large lobby with 24-hour doorman, security service and laundry room. Apartments comprise of
3 bedrooms and 2 full bathrooms, a large living room/dining room and a fully equipped kitchen. The apartments
usually have 5 occupants. Each apartment has a telephone, a TV, heating and air conditioning. Trainees /
interns share a room with another Mountbatten throughout the year. Apartments (but not bedrooms) are typically
mixed gender; however, trainees / interns can request a single gender apartment and the program will do its best
to honour such a request.
The single room in each apartment is a privilege granted to a trainee / intern in their second half of the program
who is prepared to take on ‘Resident Assistant’ responsibilities. This Resident Assistant (RA) acts as a liaison
between their roommates and the Mountbatten Housing Office. They also take the lead in overseeing the
apartment, making sure rules are adhered to and ensuring all bills are paid on time.
Each RA will attend monthly meetings with the Mountbatten Housing Team, then disseminating information to
roommates. They will also do their best to handle any practical, logistical or emotional issues that arise at home.
The RA is also responsible for organizing, coordinating and practicing the apartment’s Emergency Action Plan.
Trainees / interns who wish to be considered for a Resident Assistant position are invited to submit a formal
application to the Housing Office. The application process will be explained in detail several months after you
arrive in New York.
No applications for single rooms are accepted prior to arrival in the accommodation. Candidates who insist on
having a single room for medical or social reasons should not apply.

The Housing Team
The Mountbatten Housing Office is located in Newport, close to all of our apartments. The Housing Team
comprises of a Housing Manager and a Resident Manager. They administer all issues that pertain to housing.
They oversee upkeep of the apartments, provide pastoral support, help with problems in the apartments,
(personal or material), and ensure that the apartments are cared for in a reasonable manner. Apartments are
periodically inspected - after due notification - to ensure they are being treated appropriately.
Maintenance
Our residences have maintenance crew responsible for general maintenance, plumbing, heating, lighting etc. The
Mountbatten Housing Team maintains a relationship with building management to ensure smooth maintenance of
our apartments on behalf of Mountbatten trainees / interns.
Guests
Guests are permitted but rules apply. Those who wish to accommodate overnight guests may do so with the
permission of all their flatmates, for a period of up to 7 nights. Our policy for parents, at the insistence of
generations of former participants, is that they should NOT stay in our apartments overnight. Residents are
responsible for their guest’s behaviour. Overnight guests must leave the apartments whenever their host does.
They may not have keys to the apartments.

FREQUENTLY ASKED QUESTIONS – For Applicants
Can I get a part-time job to supplement my income in the United States?
No, the J-1 Visa does not allow this; it is illegal.
Do trainees / interns ever get hired by their Host Organization in the United States?
No. The objective of the J-1 Visa is to increase mutual understanding between the people of the United States
and other countries around the world through educational and cultural exchange programs. Upon completion of
your program, you are expected to return to your home country to share your experiences, therefore adhering to
J-1 Exchange Visitor Program regulations and maintaining the integrity of the program. Although not
guaranteed, a number of trainees / interns have been hired by their Host Organization back in their home
country.
Is the training allowance enough to live on?
Yes, if you budget sensibly. During Orientation (shortly after arriving in the United States) trainees / interns are
given a sample budget outlining standard / normal expenses. Transportation costs, for example, (getting to and
from the training placement) will not be more than USD $30 per week at current (2014) fare levels; and a share of
electricity (heating) costs will average USD $0-$60 per month, depending on the time of year.
Will the training allowance allow me to continue to pay off student loans or other debts?
No. Have your loan re-payment(s) deferred or wait until your financial situation has improved before applying to
Mountbatten.
What happens if I don’t get on with my flatmates?
Discuss the problem with your RA first and Mountbatten staff, if necessary. Constructive advice and, where
needed, mediation is offered to help roommates resolve problems. As all beds are filled at the beginning of a term
it is not possible to move trainees / interns until the 6-month point.
How much holiday (vacation) do I receive?
Normally between one and two weeks (depending on the Host Organization’s policy), plus the public holidays, of
which there are approximately ten each year.
Will I be able to travel home for Christmas?
It will depend on your Host Organization’s policies and staffing needs. Time off must be approved by your Host
Organization supervisor / manager. It is also worth considering the amount of time you may spend travelling at
that time of the year (there may be delays because of fog, snow etc.). Many opt to stay in New York for
Christmas.
Can I continue to live in the accommodation when my year finishes?
No. You and your luggage must vacate the apartment promptly to make room for the incoming trainees / interns
and to allow time for cleaning and moving.
Does my medical insurance cover me for my 13th/travel month?
No. Trainees / interns must obtain a separate insurance policy to cover themselves during this period. Advice will
be provided.
Where do we stay during orientation week?
Trainees / interns stay in a hostel or hotel in midtown Manhattan, organised by Mountbatten.
When must I arrive in New York?
You must arrive on the scheduled arrival date, which is typically a Monday. If you are travelling from Europe and
you chose to arrive earlier you will be responsible for your own transportation, accommodation, and medical
insurance until Monday. If you are arriving from Australia or other similarly distant points, you are encouraged to
arrive on Monday, however Mountbatten will try to arrange accommodation for you if there are no flights on
Monday and you have to come one day earlier.

When is orientation and what does it cover?
Tuesday and Wednesday – Orientation includes an introduction to the training year, what’s expected of you,
American office protocol, opening a bank account, application for a Social Security number, payroll setup, safety
and security lecture, cross-cultural issues, medical insurance, New York City geography / transportation, Host
Organization briefings, introduction to the academic programs etc.
Is it mandatory to attend orientation?
Yes. All trainees / interns must attend all of orientation. We will always assist those who are delayed by
unforeseen emergencies, such as airport closings, family tragedies, and medical emergencies. Trainees / interns
should not schedule events that cause them to miss any part of orientation week. Those who fail to turn up at the
hotel (through no fault of Mountbatten) will be charged for their room.
When do I start my training placement after arriving in New York?
Trainees / interns begin their training placement the following Thursday or Friday following orientation. Details of
your start date will be provided during orientation week.
Can I live with relatives/friends etc. in New York (i.e. not in the Mountbatten accommodation)?
No, but you may, of course, stay with them from time to time, e.g. over a weekend. For security purposes,
trainees / interns are obliged to let Mountbatten know their travel arrangements. They will still be responsible for
their share of all bills and cleaning duties while away.
Is it safe - New York generally and specifically where we live?
The health, welfare and safety of trainees / interns is a top priority for Mountbatten. New York is now regarded as
one of the safer American cities, but it is still a big city and you should heed the “do’s and don’ts” advice that you
will receive during orientation. Always use common sense in order to remain safe.
What type of Host Organizations do you have?
Host Organizations are selected because of the range and diversity of their operations and their commitment to
intercultural exchange and experiential education. Today, there are over 280 Mountbatten trainees / interns
serving with some 45 host placement organizations in New York. These range from Fortune 500-sized
companies, through non-profit/non-commercial entities, right down to small companies including sole

changing: new Host Organizations join, some withdraw due to re-structuring or financial constraints. In general,
our internships fall within the areas of Finance, IT, Human Resources, Law, Executive Search, Event
Management and Marketing and Communications.
Can I choose my Host Organization?
No, but you are invited at interview to express a preference for a particular area of business if you wish.
Candidates are offered to a number of Host Organizations and it is the Host Organizations who make the final
choice following a telephone interview.
