Enclosed you will find important information to get you up to speed on the season’s activities: 1. This letter/outline is your guide to the Team Mom’s primary responsibilities. 2. Some of the information included needs to be shared with your parents either verbally or in a short letter or outline from you. The key to being a successful Team Mom is to organize your team and delegate some of the duties to other parents. It is important to keep your team informed regarding special events, key dates and changes that occur throughout the season. Buckhead Baseball is committed to proving the best possible experience for your child and all of his/her teammates. You, as the Team Mom, are an integral part of the program’s success. Each league has a League Mom Coordinator that will be communicating with you throughout the season. They will pass along pertinent information and you will be able to contact them with any questions you might have during the season. Please see the list below for the League Mom Coordinator in your league. Revised: 2/24/14 Team Communication One of the most important responsibilities of a Team Mom is communication between the Team Manager (that is the Head Coach) and the team’s parents throughout the season. Please take guidance from your Manager on how much he wants to drive team communication vs. handing it over to you. Here are several suggestions. • Type a roster with all names, addresses, e-‐mails, and phone numbers to give to each family. (this will most likely be provided by the Head Coach so be sure to reach out to him first and see if he has this information) • Gather e-‐mail addresses for both moms and dads on your team and compile a group distribution list for quick and easy communication. • Remind your team parents that practice and game schedules change frequently due to weather conditions. Stress the importance of checking e-‐mail and the Buckhead Baseball website for updates. You can also sign up for text alerts on the home page of our website. Check out the information under ‘Field Conditions’ and it will help you do this. • You may also want to set up a team website on www.shutterfly.com which can be helpful with team communication. Team Sponsors Jennifer Rogers, [email protected] or-‐404-‐775-‐6165, is the Buckhead Baseball Board contact in charge of the Team Sponsorships. The sponsors are “featured” at the top of each team roster page in the Roster Book. Please ask your team parents for a Team Sponsor, and have the sponsor complete the enclosed form and send the check for $300 (made payable to Buckhead Baseball) to the address listed on the enclosed form. Indicate League Name/Team Name on the check. If an individual on your team does not want to be the Team Sponsor, please divide the $300 amongst all the families on your team and add that amount to your budget. Please get your team sponsor to mail the form and check by the deadline indicated. If you have questions about sponsorships, please contact Jennifer Rogers. Roster Books Jennifer Rogers, [email protected] or 404-‐404-‐775-‐6165, is the Buckhead Baseball Board contact in charge of the Roster Book. Roster Books should be available for pick-‐up Opening Day on March 16th. If you have any questions about Roster Books, please contact Jennifer Rogers. Please have your team assemble by 9:00 a.m. at their designated location. The players are to be in full uniform. Please remind parents that the parking lot is very crowed and to try and carpool with friends. Also, remind them to please have an adult with their player. The Opening Day ceremony will take place on the Majors Field. If you have any questions about Opening Day please contact Jordana Crow. Picture Day Carol Formisano [email protected] or 404-‐408-‐6392 is the Buckhead Baseball Board contact in charge of team and individual pictures. Picture Day is scheduled for March 29, 2014. Additional information about Picture Day will be sent to you through your League Mom Coordinator. If you have any questions about picture day, please contact Carol Formisano. Uniforms I am the Buckhead Baseball Board contact in charge of uniforms (Nicole Metzheiser. Your team’s uniforms are with Mary Lynn Jones, who will put the names on the back of the jerseys.. For your immediate attention!! You will need to match player size to jersey size and this sometimes dictates the number that players receive. The easiest way to do this is line your players up smallest to largest and assign them a number 1-‐12. The low jersey #’s are always the smallest sizes and the highest jersey #’s are always the largest sizes. The fit is not always the greatest for every player on the team, but we ask parents to try and make due. It is recommended that Team Moms put the names of their players in the ball caps with a Fine Point Sharpie marker before handing them out. Lost hats for the Minor League Teams can be hard to replace. Majors are handled differently and uniforms are picked up at Jonquil Sporting Goods. Please consult with your Head Coach. Buckhead Baseball Hotline for Rainouts • The hotline number is 404-‐231-‐2143 for updates and other important information. All efforts are made to play games as scheduled, but check the website or the hotline if you are not sure about weather and field conditions. The cancellations are often made at the last minute and some fields may be playable when others are not (so please listen to the Revised: 2/24/14 message/read the website carefully.) You can also sign up for text messages about important information involving Buckhead Baseball. Go to the home page of our website and look under ‘Field Conditions’ in the top right corner to sign up. Jeff Downer is the Buckhead Baseball Board contact in charge of the website: www.buckheadbaseball.com. The website has lots of great information and pictures from happenings around the park. It is updated often, so encourage your families to get familiar with frequenting the website. Buckhead Baseball Apparel Nicole Theis [email protected] or 404-‐731-‐6836 is the Buckhead Baseball Board contact for all of our promotional items. This year each Majors Team will be responsible for staffing the merchandise store from 10:00 am -‐2:00pm on Saturdays. More information will be passed along to Majors Teams from their League Mom Coordinator. Scoreboards It is the Home team’s responsibility to make sure that the scoreboard is handled for each game. Team Moms should assign parents to take turns keeping the scoreboard for each of your Home games. T-‐4, T-‐5 and Young Bucks: These leagues do not keep score. Rookie: Score is kept and the numbers for the scoreboard are in the equipment shed. The Home team of the first game of the day is responsible for getting the numbers out. (Managers know the combination to the lock.) The Home team of the last game of the day should put the numbers away. A: Numbers will be kept at the concession stand. Please use the same system above for numbers. AA, AAA and Majors: These fields have electronic scoreboards and the Home team for each game is in charge of keeping score. Revised: 2/24/14 Safety There are several important safety rules at Buckhead Baseball: • No skateboards, scooters or rollerblades are allowed in the park. • Parents of the younger players are encouraged to park and walk their child to the field for practice-‐this is a public park and younger children should not be unattended. • A first aid kit is always available at the Concession Stand. • A defibrillator is kept at the concession stand. • A lighting detection system is in place at the ballpark and players will be cleared from the fields in unsafe conditions. Lost and Found The lost and found is located in the storage room (aka The Boardroom) with the green double doors by the concession stand. It is usually locked but parents can ask a concession stand worker to let them in or try to grab Coach Loyd while he’s “officing” in there so that parents can look for lost items. Team Moms PLEASE remind parents to mark all sports gear with names and phone numbers. Concession Stand Tickets Emile Blau with American Roadhouse is the contact for the Concession Stand. Please see the enclosed flier regarding drink/snack tickets. This is optional, but is often done in the Rookie, Young Bucks and T-‐ball leagues. Check with your coach and families. They may prefer to have each child bring his/her own drink/snack. If you have questions about the concession stand please contact Emile Blau. He can be reached at 404-‐277-‐9119 or [email protected] Trophies T-‐ball 4, T-‐ball 5, Young Bucks and Rookie teams will receive a participation trophy at the end of the season. Team Moms will need to charge $10 per family to pay for the trophies. Trophies will be able to be picked up from Specialty Engraving close to the end of the season. Specialty Engraving is located at 1700 Northside Drive, Atlanta, GA 30318. An email will go out letting you know when the trophies are ready. A, AA, AAA and Majors will play a Championship Tournament at the end of the season. Buckhead Baseball will award the winner and runners up teams with trophies. Revised: 2/24/14 Reserving the Pavilion There may be a time when your team would like to reserve a pavilion to have a team party, etc. You can now reserve your time and day online. Go to our website at www.buckheadbaseball.com and click on the ‘Team Mom’ heading – then the dropdown ‘Pavilion Reservations’. Click on the pavilion tab you wish to reserve – click the ‘View All’ link in lower left corner. It will bring up a calendar. You should now see an ‘Edit Switch’ button in upper right corner (it looks like a light switch) – switch it to Edit and then add in your event by clicking on ‘Add New Event’ button right above the calendar. Team Budget It is suggested that no more than $50-‐$60 be collected from each family. (Majors teams are an exception.) Potential budget items include: names on jerseys, trophies, Coaches gifts, team party, drink tickets, etc. If additional expenses are supported by the entire team, the budget could potential be larger for the season. Family Night SAVE THE DATE: April 26, 2014….Family Fun Night at Buckhead Baseball. Spend an evening at the park with music, food and fun family activities. More information will follow through your League Mom Coordinator. Buckhead Baseball Buddy Program One of the finest programs that Buckhead Baseball has is the Buddy League for disabled children. The Buddy League games are played each Saturday at 9:00 a.m. The 12-‐year-‐old Majors players are “baseball buddies” to the challenger players and assist them during the game. Please support this program and come and cheer for the Buckhead Buddy Team on Saturday mornings. Again, many thanks for volunteering to be a Buckhead Baseball Team Mom!
