Email: [email protected] Office of the Parks and Recreation Department Date: August 26, 2014 To: Mayor and Council Members Subject: Skating Club Fundraiser Recommendation: That the Township of North Kawartha Council, deem the 1st Annual Yuk Yuk’s Comedy Night Skating Club Fundraiser as a ‘Significant Event’ for the purpose of obtaining a Special Occasion Permit by the Parks and Recreation Department. Background: The Township of North Kawartha took over the complete operation of the North Kawartha Skating Club in 2008. We have established skating levels and badges that the skaters work towards achieving, with an annual Skating Show in March. Throughout the years, the Club Skaters have done various fundraisers to assist in off-setting the costs to allow us to keep registration fees as low as possible. Various fundraisers included fudge sales and skate-a-thons. In 2014, it was decided that a new and innovative fundraiser was needed that was a community event. Analysis: In speaking with other Hockey and Skating Clubs, The North Kawartha Skating Club believes that the Yuk Yuk’s Fundraiser will be a great addition to the fundraising efforts, while providing a community public event that many residents will enjoy. The Skating Club parents will volunteer with the event and assist in the preparation of food and other duties as required. Skating Club parents who possess their Smart Serve certification will be bartenders. In the past, fundraising activities carried no significant potential for a financial loss. That being said, these activities did not possess a significant financial gain potential either. They were just typical fundraising methods used by many organizations for modest fundraising amounts. Email: [email protected] That being said, the Yuk Yuk’s event does carry a financial risk as Yuk Yuk’s comes with an event cost of $2175. This expense shall be offset through ticket sales at a cost of $20 per person. This requires 110 tickets to be sold in order to break even. If for some reason, tickets do not sell, the event can be rescheduled or cancelled altogether with a 50% cancellation fee. After speaking with parents and visitors at the NKCC, we believe that selling 200 tickets is achievable, even with only 2 months notice. And when successful, many believe this event can become an annual comedy night and as well as the sole Skating Club Fundraiser. Financial: Expenses: Yuk Yuk’s - $2175 Special Occasion Permit - $75. Incidentals - $300. Potential Gross Revenue: Total Ticket price - $20 per person, projecting 200 ticket sales minimum = $4000. Bar: Beer and Alcohol costs are offset by sales. And unopened alcohol is returnable. Any profit gained from the bar will be a bonus. Food: As stated, food will be provided by Skating Club Parent Volunteers and as such, hopefully no expense incurred by the Club. Net revenue target is $2000. Strategic Plan: 5.2.1.
