Use this checklist to prepare your service unit for
Cookie Sale Success.

Once you attend the Council Cookie training
recruitment guidelines. Consider including a position for overseeing individual Girl Scouts who want
to participate. Set up a communication system for the team, preferably online.

Work with your council to identify local delivery sites.

They should be: Accessible to delivery trucks

Dry and safe
 Convenient

Conduct training for troop/cookie managers and leaders/advisors.

Focus on the importance of goal setting

Be a mentor for first-timers

Distribute troop and review materials

Encourage online documentation

Assist them with booth sale scheduling, if needed

Remember, your enthusiasm will set the tone for all those around you

Be sure that troop cookie orders are entered into snap by their due dates and compile the
service unit cookie cupboard order. Review orders for accuracy

Supervise cookie distribution.

Manage booth sales within your service unit.

Monitor cupboards, if you have them. Keep in touch with your troops so that surplus cookies can be
redistributed quickly. Ask them to give you weekly inventories of their troop cookie inventories to
ensure that we sell all of the cookies that have been ordered.

Re-order more cookies as needed.

Ensure that all the cookie money is collected on. Make bank deposits frequently.

Remind leaders that they MUST transfer all cookies to the girls in SNAP before they create their
recognition orders and to submit cookie credit transfers by the due date!

Prepare all necessary reports and paperwork for cookies and recognitions and turn in to your council
on time. Distribute recognitions promptly when they arrive.

Pat yourself on the back. Your work is important and does really make a difference!

PRODUCT SALES COORDINATOR
JOB DESCRIPTION
The Service Unit Product Sales Coordinator is appointed by the Service Unit Manager and the Senior
Director of Product Sales, in consultation with the area Membership Specialist. He/she works directly
with Troop Leaders and Troop Cookie Managers. The Service Unit Product Sales Coordinator receives
training from the Council staff and works closely them throughout the cookie sale.
The Product Sales Coordinator (PSC) is responsible for overseeing all aspects of
the product sale within their area. This includes training Leaders and Troop
Cookie Managers. This ensures that all girls within their community are given the
training and tools necessary to reach their sales and educational goals.












Must become a registered member of GSUSA and submit to a background check.
Personal integrity: The PSC must be dependable, honest, and have the ability and willingness to train
and guide Leaders and adults through all aspects of the sale.
Organizational: This position requires organizational skills and an understanding of the financial
importance of product sales to support both Troops programs, and training throughout the Council.
Understands and advocates the Girl Scout Mission. Interprets and supports national Council goals,
the GSLE, annual objectives, policies. Standards and procedures.
Understand, respect, promote and embrace differences and foster diversity.
Express ideas and facts clearly and accurately. Access to e-mail and the internet.
Work with the Senior Director of Product Sales to see that all product sales and
educational goals are being met.
Attend all trainings for the position to ensure that overall goals can be achieved.
Recruit and train Leaders/volunteers to act as the cookie chair for all pathways.
Coordinate all logistics for her/his community. These include:
o Conducting trainings within the community
o Following up to see that all deadlines are being met (orders, payments, camp
credits, etc.)
o Track and report on all aspects of the sale. Report any collection issues as they
arise.
o Provide support and guidance to volunteers as needed.
Complete and submit all necessary payments and data to the Council to meet calendar
deadlines provided by the Girl Scouts of Southeastern New England, so that Troops/Girls
can receive proper proceeds and other recognitions upon completion of the sale.
Adaptability: Must be flexible and able to adapt to changes that may occur and also in
dealing with Leaders and other adult volunteers.

The Girl Scout Cookie sale is teaching girls how to take control of situations and serve as a leader for change.
learning 5 Essential Skills Goal Setting, Decision Making, Money Management, People Skills and Business Ethics.
These are skills they can carry with them for a lifetime of success.
Cookie Basics
Lead the Change is the theme of the 2015 GSSNE Cookie Sale Program. Today more than ever, Girls
are helping to Lead the Change by participating in this program that dates back almost 100 years!
The cookie line up consists of the eight great varieties, along with a new 9th variety, which is a gluten free cookie
that we are testing this year.
The cookies varieties are:
Thin Mints, Caramel De Lites, Peanut Butter Patties, Thanks a Lot, Cranberry Citrus Crisps, Shortbread,
Lemonades, Peanut Butter Sandwiches, and our new addition are Trios. Trios are made with chocolate chips,
peanut butter, and certified gluten free oats.
All cookies other than the gluten free retail for $4.00 per package. The gluten free cookie retails for $5.00 per
package.
Troop Proceeds and Recognitions
Girl Scout Programs give girls the opportunity to earn money for activities and to support their council
and community. All proceeds stay within the local council. As the Product Sales Coordinator, you will be
responsible for setting up a payment calendar for your community and to be sure that troops adhere to
this schedule.
Proceeds that girls can earn by selling Girl Scout Cookies are based on the per girl average of boxes sold
by registered girls within a troop. Per GSUSA guidelines, Proceeds cannot be paid to individual girls.
Older Girl Proceeds are paid based on the number of girls who participate in the sale.
Here is what Troops can earn:
Troops who sell an average of 1-99 boxes per girl will receive .46 per box of cookies sold.
Troops who sell an average of 100-159 boxes per girl will receive .49 per box of cookies sold.
Troops who sell an average of 160-199 boxes per girl will receive .59 per box of cookies sold
Troops who sell an average of 200 boxes or more per girl will receive .69 per box of cookies sold.
These numbers must be verified by the Product Sales Coordinator, who will have a listing of registered
girls as of 01-19-15.
Each Service Unit may elect to participate in Direct Sales or Order Taking. As a community you need to
decide which works best for you!
Cookies are not returnable at the end of the sale and each girl/troop is financially responsible for all
product that they order. Both cupboards and troops are encouraged to actively trade and transfer
cookies during the sale.
Troops who wish to hold Booth Sales outside of their Service Unit MUST get permission from the PSC in that
community prior to conducting a booth sale. This is a courtesy to both the neighboring community and to the
businesses that support us.

Individually Registered Girls (IRG) & the Girl Scout Cookie Sale
Individually Registered Girls may earn Cookie Credit for the GSSNE Girl Scout shops and/or
membership registration when they participate in the Cookie Sale Program.
IRG Cookie Credits!
Council issued certificates will be awarded to any IRG who sells 100+ packages of cookies or more.
These certificates may be used at either the Council Office Shop in Warwick or at any of the camp
trading posts.

not be extended, so please plan accordingly. Cookie Credit Certificates cannot be replaced.

Recognitions and the IRG! Individually Registered Girls will earn the same cookie sale
program recognitions as a troop girl. An Older Girl IRG, participating at the Cadette level or
above may choose to opt out of receiving recognitions and may earn an additional $0.10
per box in cookie credit.
Girls are allowed to participate in GSUSA approved on-line marketing for Girl Scout product
activities. Girls must complete a signed permission slip and the Internet Safety Pledge and other
safety guidelines are detailed at www.gsusa.org and at www.abcsmartcookies.com.

Attend the Cookie Training &
Receive Cookie Sale Materials
Once your troops have been trained and placed their initial you need to do the following:








Collect signed permission forms
Take booth sale requests, assign booths that are community booth locations
Prepare Service Unit Cupboard Order-enter into SNAP
Order a small supply for reorders
Ask troops to review their girl rosters in SNAP make any necessary transfers by 1/19/15
Refer to the Cookie Sale Calendar and adhere to all deadlines
The Volunteer Cookie Team*
A successful Girl Scout Cookie Program depends on dedicated volunteers like you!

The team consists of:
-The Service Unit Cookie Sale Coordinator who trains and oversees all area volunteers
-The Booth Coordinator (this is not mandatory, but they make the booth sale process
much easier)
-Troop Leaders
-Troop Cookie Chair
-Parents and other family members who support the troops and assist throughout
the sale.
*All volunteers involved in the cookie sale must be registered adults who have gone
through the volunteer screening process including Volunteer application, Background
check and registered with GSSNE/GSUSA.

Receive cookie delivery on your specified day at your Service Unit delivery location.
Display a cookie station sign in a prominent place so the truck driver can see it.
Have driver sort the cases by variety.
Inspect cases for visible damage - if you have damages, replaced at that time.
Count cases by variety to insure correct quantities BEFORE you sign the delivery ticket.
Sign only for cases ACTUALLY received.
Contact Troop Cookie Managers when ready for them to pick up their cookies.
Notify our office when the agent has completed your delivery.
Partial Payment Deadline
Partial payments must be received by the Council Office
from each Troop by January 30 th and at least every other week after that.
Troops must make a minimum payment of at least 50%
of their initial order prior to receiving any additional orders.
This paperwork must be received by the council in order for us to process re-orders.
Final Deadlines
Total payment is due to council for each Troop.
Troops must be paid in full no later than March 30th.
Include collection report(s) if Troop has outstanding balance
Incentives orders must be in SNAP by March 30th.
Cookie Camp Credit Transfers MUST be received by 5pm on April 30th

As Cookie Product Sales Coordinator, it is your responsibility to make sure all troops in your service unit are

Any girl who should not be in a troop must be removed in the GSSNE registration database before January

If it’s your responsibility to select a neighborhood delivery station for
Girl Scout Cookies, here are a few important questions to answer…
Will there be enough room for all those cookies?
Each 100 cases of cookies takes up a space 3 feet wide, 3 feet deep
and 5 ½ feet tall. A standard two car garage will hold about 1000 cases.
Cookies could be damaged if they are stacked more than 8 cases high.
Will the cookies be safe there?
Each case of cookies weighs about 8 pounds. If you are expecting
1000 cases to be delivered to your station, that’s 8000 pounds or
4 tons. Is the floor of the site strong enough to hold that kind of load?
Look out for windows that could leak in a heavy rain, or pipes that might
freeze and burst. Is the place likely to get hot enough to melt the chocolate
cookies? Are there any signs of ants or other bugs that could infest the
cookies?
Can the delivery truck get to the site?
The truck that delivers your cookies may well be a tractor-trailer 60 feet
long and 14 feet high! The site you select must be accessible to large
vehicles. Avoid streets with obstacles like construction, low hanging tree
branches or utility wires. Make sure that the street, driveway and/or
sidewalk can handle the weight of the truck.
If you are expecting a large cookie order, community
buildings like fire stations or places or worship generally make better
delivery stations than personal residences.
OR
Our agent, Paul Arpin, is also an excellent choice for a delivery
station. The product would be set-up for each Service Unit, with
loading docks that make Delivery/Troop Pick-Up process convenient.

All orders, whether they are being picked up at the Council Office or at Paul Arpin
must be emailed to the Council Office no later than 9 am the day before you need the cookies.
All re-orders must be entered into SNAP for each Troop and for each individual girl.

There is a 150 CASE minimum for any cookies that are being delivered to a particular site.
Deliveries initial will run from January 20 to January 28th. After initial delivery, product will be
delivered on Wednesdays and Fridays only. All orders need to be sent to council by 9:00 am
the day before your desired delivery. Orders may be picked up at the Arpin Warehouse
Tuesday-Friday 9-4pm. There are no pick up or deliveries on Mondays!
Remember to plan ahead to ensure that there is adequate product available.

There will be limited back-up inventory available at the warehouse. Troops need to plan ahead
so that we can ensure that we have adequate product on hand to fill all orders.
Late in the sale, product should come from other Service Units, Council Office or Camp

The Product Sales Coordinator should set up a payment schedule at the
beginning of the sale and distribute these dates to all Troop Leaders and Cookie
Moms. Once money has been collected, you may deposit the payments into any
branch of Citizens Bank.
We will supply you with deposit slips that can be used to make deposits. Copies of
the deposits, along with the payment forms should be brought/sent to the Council
with in 3-days of deposit so that Troops can be credited for their payments
OR
2.
Any Partial or Final Payments that have not been direct deposited by the
designated deadlines, must be brought to the council office between the hours
of 8:30am and 5:00pm the following day! You can also instruct your Troop cookie
managers to bring any outstanding payments to the council office on this date.

If a parent/guardian does not make payment for their cookies, notify the Service Unit Cookie Manager
or Product Sales Specialist and submit the completed Troop Collection Report. The Troop Collection
Report form should be sent with the signed annual permission slip and signed Booklet Receipts on or
before March 30, 2015, to the attention of: Ginger Lallo.
NEVER use troop proceeds to cover a delinquent payment.

Troops who do not meet these deadlines will not be able to schedule any

BANK DEPOSIT PROCEDURES:
FINAL DEPOSIT DEADLINE: MARCH 30, 2015.
DEPOSIT ALL THE COOKIE MONEY THAT HAS BEEN COLLECTED TO DATE.
If you do not receive all the cookie money due to you by then, complete an RI-3 (the Collection Report Form).

Fill out the special preprinted 3-part deposit slip. Do not use blank deposit slips found
at the bank. BE SURE SERVICE UNIT AND TROOP(S) NUMBER ARE RECORDED ON EVERY
DEPOSIT SLIP. You may choose to do one Troop per deposit slip
or combine Troops as long as the deposit totals match the payment forms.

Sort dollar bills by denomination and band together with bills facing the same
direction. Roll coins. You can pick up coin wrappers from any bank or get them
from GSSNE office.

Tear off yellow copy of deposit slip and save.
5.
Give white and pink deposit slips to the teller with all monies. She/he will return pink
copy and white bank receipt back to you.

Attach both pink deposit slip and white bank receipts with adding machine tape to Troop
SEND THESE TO GSSNE IMMEDIATELY. Attach the yellow deposit slip to your copy.
7.
Log all payments into each troops SNAP account AFTER payments have been made at the bank.
It is very important that the deposit slips and bank receipts are sent to the
Council Office promptly after the deposits are made to ensure that
Troop Proceeds, Recognitions and Camp Credits are processed in a timely manner.
You will receive deposit slips, account stamps,
and extra payment forms, should Troop Leaders ask you for them.
