Background History UNICEF SD has been using barcodes for 10+ years in WH WH processes standardized Post Global UNICEF ERP namely VISION • Information availability in one system • Field offices receive, issue, inventory mgmt etc.. in VISION • User errors in recording transactions in VISION – Still learning... • Vaccine Arrival Reports (VAR) is still via paper/email • Use of waybill to confirm that goods have been received by IP Why Barcodes • Focus on Supply Monitoring which includes tracking as one component • To ease goods receipt, issue, put away & Inventory management in UNICEF Warehouses (including 3PL) • Reduce time to record that IP has received the goods • Improve over all efficiency Why Pilot • Proof of concept of the use of barcode to track/monitor • To design barcodes targeting practicality of use • Identify integration components in VISION • Identify challenges in use of the barcode & solutions Use of barcodes in SD for replenishment orders SD places replenishment POs Suppliers pack/ready the goods Goods Receipt (GR): • WMS records the goods via barcode reader • GR created in VISION through PI integration ** Freight Forwarders pick up goods from Suppliers and delivers them to SD Shipment contains a barcode label with: • UNICEF Purchase Order • UNICEF Material Number • Quantity • Batch ID (if applicable) • Expiry Date (if applicable) Current State: Orders delivered to IP SD places Offshore POs Goods Receipt Suppliers pack/ready the goods Transport to Destination Note on custom clearance and transport: • Clearance and transport usually coordinated by IP (Govt.) • UNICEF some times requested to coordinate clearance or transport or both in some instances. • Waybill presented by transporter to Govt or UNICEF confirming goods arrived at destination Challenges: • Messages in various sources in various forms/forums • Efforts required to consolidate the information from sources • Gap in status of shipment between clearance and arrival at destination • Goods Receipt for programme supplies recorded in VISION, however no GR for IP recorded Custom Clearance Freight Forwarders pick up goods from Suppliers and ships the goods Goods Arrive at the port of entry Information available: • Notification by suppliers to SD on goods readiness via email • FF sends a pre-advice to clearing agents & copy to relevant parties on the estimated arrival date of the shipment • Message from FF on shipment plan (not used) • Message from FF via EDI to confirm that shipment arrived at port of entry • Waybill presented by the transporter that the goods have reached destination Desired State: Orders delivered to IP using barcode SD places Offshore POs Goods Receipt 4 Transport to Destination Suppliers pack/ready the goods 1 Custom Clearance Freight Forwarders pick up goods from Suppliers and ships the goods 2 Goods Arrive at the port of entry 3 Possible Monitoring Points: 1. Suppliers scans the barcode for goods readiness and triggers message to SD via App 2. Freight Forwarders (FFW) scans the barcode when goods are picked up and EDI message is triggered into UNICEF ERP system namely VISION. Also FFW sends a pre-advice to clearing agents & copy to relevant parties on the estimated arrival date of the shipment 3. Message from FFW via EDI in VISION to confirm that goods arrived at port of entry. VISION Triggers an email/SMS that goods are ready for clearance. 4. Goods Receipt created in VISION when UNICEF scans the barcode using barcode device for programme supplies. Goods Receipt/confirmation created in VISION when IP scans the barcode using SmartPhone App. • .Note that the REOI is only for point number 4 (goods receipt) The other monitoring points will be looked into after the pilot
