Program Resource Centre Advisor Job Description 2014 - 2015 University of Victoria POSITION OVERVIEW The Program Resource Centre Advisor’s (PRCA) primary objective is to be a resource at the Programming Resource Centre and offer programming support to UVic Residence Life & Education Staff (RLES). The PRCAs are involved in supporting the overall Residence Life & Education program by researching, designing, creating, promoting, and updating programming resources for use by other RLES and providing programming support for RLES and partners. In addition PRCAs will also assist the Residence Services team on special projects, and committees. The scope of this position embodies many duties and responsibilities, including supporting residence programming and Program Resource Centre hours, administrative tasks, among others. The PRCA reports to the Coordinator, Student Development & Programming (CSDP). DUTIES AND RESPONSIBILITIES STAFF PROGRAMMING AND SUPPORT Assist staff in operating equipment and using supplies while in the PRC. Run two programs or an ongoing program each term to support RLE staff. Develop passive programming for RLE staff to be displayed in the PRC. Liase with RLE staff teams. Coordinate and contribute to a monthly PRC newsletter. Perform administrative tasks such as data entry, filing, etc. as needed. Check and update email and eRezlife accounts promptly. Attend regular one-on-one meetings with the CSDP. Support the CSDP in the assessment of the PRC objectives. Perform other administrative duties as required. TRAINING AND DEVELOPMENT This position requires that the incumbent attend and participate in the August Training Program. The August Training Program is mandatory in its entirety, and begins at 8:30 am on August 20, 2014 through to September 1, 2014. Develop and maintain an in-depth understanding of the information and instructions provided in August Training, and of other training materials that may be distributed to staff. Attend regular staff meetings. Coordinate tours of the PRC for RLE staff. Discuss any/all performance issues with the CSDP. Formal job performance issues are addressed first with the CSDP and then, if necessary, referred to the Manager of Residence Life and Education. PRCAs will be provided with information on how to improve job performance. Issues that are not addressed satisfactorily may result in termination. This may include immediate termination. ADMINISTRATIVE TASKS Staff PRC reception desk by greeting PRC users and answering the PRC telephone Keep accurate inventory control of equipment, supplies, and resources in the PRC as well as the Sanderson 114 storage room. Keep accurate records that reflect who, when, and how the PRC is being used. Update PRC and cafeteria bulletin boards. Submit any receipts for reimbursement of program-related materials within two weeks of the date of purchase. TERM OF APPOINTMENT All dates may be subject to change The Program Resource Centre Advisor position is an eight-month contracted position, which starts on August 20, 2014, and ends on April 26, 2015. Work approximately 15 hours a week at the PRC and/or at PRC related events each week, which includes days, evenings, and weekends. ADDITIONAL TERMS OF EMPLOYMENT The PRCA must be a full-time student at the University of Victoria and maintain a minimum grade point average of 4.0 on a 9.0 point scale. Fluency in Microsoft Office, publishing software, and familiarity with operating PRC equipment is preferred. Any other proposed employment or extra-curricular activity must be discussed with and approved by the CSDP before the PRCA can commit to it. The PRCA must adhere to the Residence Community Standards and all aspects of the University of Victoria Residence Agreement while working in Residence. 2
