The KU Leuven insurance only covers work accidents and limited liability if you damage some property of the company o Agree clearly on reimbursement (no salary!) (travel/stay/ …) 6 Procedure: Step 2 • Agree with company on an internship work plan o subject should be in field of nano master! • discus in an early stage with internship coordinator to avoid disappointment o subject should be different from master thesis! o work plan = 1 page pdf • • • • name and address of company supervisor within the company (with his/her email address) description of the planned work start and end dates of internship o end of March: send work plan by e-mail to programme director and internship coordinator for preliminary approval o do not start with the legal part unless the work plan has been approved! o [if abroad:] ask for KU Leuven permission as well 7 Procedure: Step 3 • Complete legal documents o contract • model contract: available on website • if company requires other contract, e.g., IPR phrasing • contact Prof. E. Van Lil • any deviation from model contract requires approval by KU Leuven legal department, which can take several weeks! • have the company sign 3 copies, ask them to snail mail the copies to Prof. Van Lil, go over to his office to put your signature as well; return one signed copy to the company, keep one yourself, Prof. Van Lil keeps the third copy o workplace form (“werkpostfiche”) or VGM-file (next slide) 8 Procedure: Step 3 • Complete legal documents o contract o workplace form (“werkpostfiche”) or VGM-file • only applicable if company is located in Belgium • it determines whether a medical examination is required • double-check with Prof. Van Lil which one is applicable this year (werkplace form or VGM) • have it filled out by the company, and hand in to Prof. Van Lil o Strict deadline: April 30th! 9 VGM-file 10 Before/During Internship • Let us know ASAP if something goes wrong o subject changed, illness of yourself or the company supervisor o supervisor not (or too little) available o accident 11 Procedure: After the Internship • Written reporting o o instructions: see website • Industrial internship: 20 pages; 10 pages for Industrial Experience hand in at latest the first working day after 2/11 • Oral reporting o o o presentation (20 min. + 5 min. Q&A) typically in November; schedule is prepared in October company supervisor is invited to this presentation • Final note o an internship executed without technical + legal approvals will not be ISP approved! 12 Procedure - Timeline • now: identify a company and a topic • end of March: apply for technical approval • April [if internship abroad] :apply for KU Leuven permission • April 30th (strict deadline!): apply for legal approval • May [if internship abroad] : apply for visa, if required • June: perform a medical examination, if required • July – September: internship • first working day after Nov. 2nd: deadline written report • during November: oral presentation + defence 13
