Mitcham, P. Eng., MBA Commissioner of Community Services SUBJECT: Approval of Festival Applications for Mississauga Celebration Square Fall/Winter 2014 (Ward 4) JUN 2 3 201~ RECOMMENDATION: That the Corporate Report dated June 17,2014 from the Commissioner of Community Services entitled, "Approval ofF estival Applications for Mississauga Celebration Square (MCS) Fall/Winter 2014" be received for information. BACKGROUND: Corporate Policy 05-03-03 "Outdoor Events in the Civic District" outlines the process for approving event organizers at MCS. As per the policy, the 2014 approvals group was convened with representatives from staff and the following members of the MCS Events Committee: • ,• Rafay Agha; and Frank Giannone. Three applications were received by the March 30, 2014 deadline. All applications were forwarded to the approvals group for evaluation. Mississauga Celebration Square Events Committee -2- June 17, 2014 Evaluations were based on criteria outlined in the policy. Applications were assessed by the approvals group based on the following matrix: Event history/references Cultural Outline of Event Innovative Programming Potential for Economic Benefit Evidence of Organizational Effectiveness Total Score out of 100% 25% 20% 20% 20% 15% 100% In the case where an event was not previously hosted on City property, references were contacted and asked to provide feedback. All feedback was shared with the approvals group. COMMENTS: MCS is a high profile, high demand event facility. Due to the volume and quality of applications, as well as the resources available, not all event requests can be accommodated. Upon review of the applications, the committee recommended one of the three applications be provided a booking at MCS. The Committee did not believe 2 applications met policy requirements, nor that sufficient information to warrant acceptance was provided. A summary of the approved recommendation is provided in Appendix 1. STRATEGIC PLAN: Supporting community festivals at Mississauga Celebration Square delivers on the City ofMississauga's commitment to create vibrant public spaces in the downtown and supports the Strategic pillars of Connect and Belong. FINANCIAL IMPACT: There is no financial impact. CONCLUSION: Based on the process for approving applications for use of Mississauga Celebration Square outlined in Corporate Policy 05-03-03 "Outdoor Events in the Civic District", an approvals group was struck to evaluate the three applications submitted for events during the 2014 Fall/Winter season. This resulted in the approval of one application.
