Policies * White Space Events (WSE) is the event management company of The Veranda @ The Whitcomb. This contract is entered into between White Space Events and the Client 1. WSE, The Whitcomb, and its officers, representatives and/or members shall not be liable for any and all accidents, injuries, within the building, The Veranda, or any part of the property. 2. WSE, The Whitcomb, and its officers, representatives and/or members shall not be liable for any lost or stolen items. Policies, Cont ’d 3. WSE, The Whitcomb, and its officers, representatives and/or members shall not be liable for any noise violations by any amplified music or sounds. 4. No Veranda property can be removed from the premises at any time. 5. The party signing this agreement (Client) shall be responsible for and must reimburse all damages to The Veranda or Whitcomb caused by guests or 3rd party vendors. 6. Client shall be responsible for obtaining liability insurance for the date of the event, including host liquor liability. White Space Events, Sunset Coast Events, LLC and WTC Sub LLC must also be named as other insured on the policy. For policy information/purchasing, visit www.WedSafe.com. 7. Catering for any event at The Veranda is to be offered exclusively by CK Catering LLC. 8. No beverages are to be brought into or taken out of The Veranda, other than alcohol designated for the event. All alcohol designated for the event must be handed over to the bartenders upon arrival. 9. All alcohol must be sealed while being brought into or taken out of The Veranda. 10. No alcoholic beverages may be brought outside The Veranda onto public sidewalks or streets, or into The Whitcomb main building. 11. Any music is to cease playing at 11pm, and the premises must be vacated by 11:30pm. We require you to follow local city ordinances for amplified noise restrictions. 12. Music volume levels must be restricted from the hours of 7:30-8:30pm on Fridays and Sundays in which the Howard Band Shell is in use (concert season is last weekend in June—Labor Day weekend). 13. Setup for your event will be completed by 11:00am the day of the event. 14. 14 days before the event, the client must confirm the final guest count guaranteed for the event. After that date, the guest count may only increase. 15. WSE is not responsible for failure to perform under the terms of this agreement due to acts of public authority or “acts of God”. All efforts will be made to minimize this probability. 16. Client, or their representative, will arrange decorating times/vendor delivery times with 1928 Planning Co. staff prior to the event date. If you will be hanging your own decorations from the ceiling/railings a decoration waiver (attached) must also be signed and returned. 17. Client agrees to remove all items/decorations brought into The Veranda on the same night of the event unless arrangements with 1928 Planning Co. staff have been made prior to event date. Policies, Cont ’d 18. WSE may take photos during set up/take down/or during the actual event. These images remain WSE’s property and may be used for advertising. 19. WSE/1928 Planning Co. staff reserve the right to prohibit décor/rental items/equipment that may be harmful or destructive to Veranda property. 20. Client acknowledges that he/she is responsible for the actions of guests and will not allow them to engage in illegal activities or behavior that interferes with The Veranda/The Whitcomb operations or neighbors. Payment Terms 1. One signed copy of this agreement must be returned with a NON-REFUNDABLE deposit of one-half of the rental fee + the $500 catering deposit. If paying by check, please make checks payable to: White Space Events. Please mail signed agreement and deposits to: White Space Events 509 Ship Street, St Joseph, MI 49085. 2. All remaining funds due must be paid 1 week prior to the event. Should there be an outstanding balance to White Space Events or 1928 Planning Co., either company reserves the right to cancel the event. 3. White Space Events accepts cash, checks, or credit cards for payment. 4. A fee of $25.00 will be charged on checks returned for non-sufficient funds. Client, or their representative, will arrange decorating times with 1928 Planning Co. staff prior to the event date. 2. WSE/1928 Planning Co. staff reserve the right to prohibit décor/rental items/equipment that may be harmful or destructive to Veranda property. 3. Client agrees to remove all items/decorations brought into The Veranda on the same night of the event. 4. Client agrees to return The Veranda to the same condition it was in prior to their event. If hanging items, all strings etc. must also be removed from the ceiling/railings. Should you fail to meet the terms of this waiver, you authorize White Space Events to charge your credit card on file for a damage/clean-up fee of $100. Any decorations/items left at The Veranda will become property of White Space Events.
