WFG REMITTANCE GUIDELINES WFG National Title prides itself on working together with agents toward a common goal. We strive to take the aggravation and inefficiencies out of collective tasks like remitting. To that end, we have tried to adopt extremely flexible remittance processes. With few exceptions, we mandate very little when it comes to receiving policies and payment. We understand that each of our agents is unique in size, production system, and business practices, and we want to respect those differences when it comes to directing back-office procedures. That said, for those who want more guidance from us about what we’d like to have in a remittance, we have developed so-called “preferred methods.” They are, as the name implies, voluntary or ideal, but not required. You’ll find standards for both mandatory and preferred methods below. Please note that any state or federal law or guideline that conflict with the standards set forth below will trump these standards. Thank you for choosing WFG! STANDARD MANDATORY METHOD PREFERRED METHOD What should be included in my remittance? The only required items in a remittance are: Copies of policies and endorsements Payment Can I create a Remittance Report or Spreadsheet via WFG technology or must I use my production software or generate my own? What information about the transaction is required for a policy remittance? How should I submit my remittance and to whom should it be addressed? We strongly suggest you also include some type of remittance report or spreadsheet with your remittance package. You can use whatever method is most convenient for you to generate a remittance spreadsheet. Suggested methods are: Preparing the Excel spreadsheet found on our Agency eManual website, Printing a Remittance Report from our Agency Management System “AMS” (see instructions for doing so on our Agency eManual website), or Generating your own remittance report within your production software You can generate a Remittance Report from our Agency Management System “AMS.” Instructions for doing so can be found on our Agency eManual website. While this report is easy to create, you are not required to use this report format (see above). In what order should I place my remittance paperwork? Please order them as follows: Owners policy, OP endorsements, Loan policy, LP endorsements. How should policies be presented for remittance? We prefer that your policies be separated by file number with paper clips. Must I remit from a separate “Remittance Account”? You should never remit from your Operating Account. Ideally you would have a separate Remittance Account, however, you can also remit from your Escrow Account if you so choose. You should never remit from your Operating Account. How often should I remit? By the terms of our agency agreement with you, policies should be remitted within 30 days of issuance. How are endorsements remitted? Copies of endorsements should be included in your remittances, unless you are remitting Short Form Policies. All endorsements should be accounted for on your remittance spreadsheet or report. Please separate endorsement by type specify the premium amounts on your remittance spreadsheet. No. You can remit CPLs however you prefer; with policies or in their own separate remittance. However you choose to remit them, we prefer that you remit them with the same frequency as you do policies (once a th month and no later than the 15 of the month for CPLs from the prior month). Must I remit CPLs with policies? What information about the transaction is required for a CPL remittance? Ideally, we’d prefer you remit no later than th the 15 of each month for the prior month. Please include the File Number linked to the CPL. We also strongly suggest you include the following: Policy number, if you have one. (Depending on the timing of the transaction, at the time you remit CPL payment, you may not yet have assigned a Policy number.) Names of recipient(s) of the CPL (buyer, seller, other, etc.). Amount of the CPL(s). County Zip Code 2 WFG Remittance Guidelines STANDARD What if my business operates in more than one state? MANDATORY METHOD PREFERRED METHOD We enter and track remittances by Agency ID number. We prefer that you remit everything for all states in one remittance, so long as they all fall within the same Agency ID number. It is not necessary to separate your remittances out into multiple states unless you prefer to do so. What if my business operates in more than one location within a single state? We enter and track remittances by Agency ID number. If your agency locations operate under different ID numbers, please remit them separately. If they operate under the same ID number, you can choose to either remit them all together or remit them separately. The choice is yours. What if my title agency operates an affiliated business? Again, we enter and track remittances by Agency ID number. Most likely, your affiliated businesses operate under a different name and a different Agency ID number, so they would remit separately. If they operate under the same Agency ID number, you can choose to remit together or separately. How do you treat credits on account? Occasionally mathematical errors are made that cause an agent to submit more money than is owed for a policy or group of policies. In these instances, depending on the amount of the discrepancy, we can either leave a credit on your account which can be applied to your next submission, or we can issue you a credit for the difference. Either way, if the error results in a mistake made to an Insured, you will need to financially rectify the issue with the Insured. How do you treat account deficiencies? Those same mathematical errors mentioned above can cause an agent to submit less money than is owed for a policy or group of policies. In these instances, our Accounting Department will issue you an invoice to be paid as soon as possible. Again, if the error results in a mistake made to an Insured, you will need to financially rectify the issue with the Insured. Where do I direct remittance questions that are not addressed here?
