Office Hours: 8:30 – 19:30 2)In case of an emergency, (after office hours; 19:30-8:30) please call the maintenance service line: 0120-060-749. (2)Rules 1)Resident Responsibilities ① Abide by Kyushu University regulations regarding student dormitories and those outlined in this handbook. ② Behave in an orderly manner and do not disturb other residents. ③ Check notices on the information board every day. ④ Keep your room, the inside of the dormitory, and the areas outside of the dormitory clean. ⑤ Keep the door to your room locked and your keys with you at all times. ⑥ Pay rent, utilities, and common fees on time. If you fail to pay rent, utilities, and common fees by the deadline more than three times during your permitted period of residence, you will be required to move out of the dormitory immediately. ⑦ Pay all necessary fees by the deadline. If there are any unpaid fees after you have moved out, we will charge you and inform your supervisor and home university even if you have returned to your home country. ⑧ Attend the Emergency Evacuation Drills held once a year at this dormitory. ⑨ Attend the Dormitory Orientation. 2)Prohibited Matters ① Do not leave personal belongings in common areas, such as the lounge, corridor, emergency staircase, or emergency evacuation route. ② Smoking is strictly prohibited. Do not smoke in or near this dormitory. ③ Do not enter your room with shoes on. Remove shoes in front of the door. ④ No guests are allowed to stay overnight. ⑤ No pets are allowed in or near this dormitory. ⑥ No Parking (except for those who have received special permission) ⑦ Oil or electric heaters that do not meet the standards for earthquake-resistant equipment are not allowed in any rooms. ⑧ Do not drink alcohol in this dormitory. ⑨ Religious activities are strictly prohibited in the dormitory. ⑩ Political activities are strictly prohibited in the dormitory. ⑪ Business or commercial solicitation is strictly prohibited in the dormitory. 1 2015.9 3)Cleaning ①Garbage*1 Dispose of garbage in plastic bags. Be sure to wash out any garbage that had food in it to avoid creating bad odors or attracting cockroaches or other vermin. Be sure to close garbage bags completely when putting them out. ②Drain (Bathroom and Kitchen) Use a coagulant or old newspapers to dispose of cooking oil, soup or other leftovers and dispose of them in the designated garbage bags. Do not pour oil, soup, or anything that could clog pipes down the drain. These drains lead to the ocean. ③Products with adhesion bond Do not use products with adhesion bonds (such as wall hooks with adhesion tape). They will damage the walls and you will be charged for any damage. ④Bathroom Use a hair catcher (stopper) in the drain and clean this out on a regular basis to prevent clogging the drains. ⑤Ventilation Japan is located in a humid region and this humidity causes mold. Open the windows every day to get fresh air into your room and to prevent mold from growing. *1 Refer to p.17 (Garbage Rules) for more details. 2 2015.9 (3)Fire, Disaster, and Crime Prevention ●Emergency Calls Report any emergency calls made to the police or fire/ambulance to the dormitory manager’s office and resident leaders immediately. Police:110 Fire/Ambulance:119 ●Crime Prevention ◆Room Key Do not make a copy of your room key or lend your key to anyone. If you lose or copy your room key, you will be fined. ◆Door Lock the door when leaving your room. ◆Bicycle It is possible that your bicycle may be stolen or damaged. Register your bicycle with the dormitory manager and place a registration sticker on your bicycle. Take all necessary measures to prevent bike theft. ◆Suspicious People Report any suspicious individuals to the dormitory manager’s office. ◆Service Staff Service technicians or dormitory managers may enter your room for repairs or in case of an emergency. Except for emergencies, you should be notified in advance. 3 2015.9 (4)Housing Rates and other information 1)Deposit, Rent, and Common fee ①Monthly rent and the common fee will be withdrawn from your registered bank account on the 6th of every month. If the 6th is a bank holiday, the automatic withdrawal will take place on the next business day. Be sure to deposit the total amount for rent, and the common fee before the 6th. ②You will be given a bank transfer payment slip when you move in. Use this slip to pay the total amount for the deposit, rent, and the common fee for the first month. ③The full monthly amount (for rent and the common fee) will be charged for all months including the months that you move in and out. Rent will not be counted on a daily basis. Residents are required to pay for the entire month even if you have only stayed in the dormitory for one day of that month. ④Your deposit will be returned at the end of the term of residence as long as there has been no damage to your room. Residents will pay banking charges. You will be charged a fine for the lost key. ② We suggest that all residents get fire insurance. ③ Do not take anything (this includes the air conditioner, desk, chair, bed with strage, refrigerator, etc.) from the dormitory facilities without permission. 5 2015.9 (6)Facilities 1)Room Facilities and Equipment ① Keep the dormitory facilities and furnishings in good condition. ② Do not take anything out of your room without permission. ③ You will be charged if you intentionally or unintentionally damage or misplace communal property and facilities. 2)Parking Permission ① You are required to apply for parking permission if you plan to park a bicycle or motorcycle in the parking area. ② Once approved, place the registration sticker from the dormitory manager’s office on your bicycle or motorcycle. Bikes without a registration sticker will be removed. ③ Do not leave your bike when you move out. Dispose of your bicycle in accordance with city garbage regulations. 3)Multi-Purpose Hall ①Residents are required to acquire permission from the management office two weeks before the date you want to use. ②Keep the room clean during and after use. Be sure to double check that the room is clean and lock the door after use. 4)Lounge Do not leave your personal garbage in the lounge and keep the lounge clean. 5)Laundry room You are responsible for your own laundry and should not leave it in the washing machine for a long time. *Using a washing machine in your room (including the balcony) is strictly prohibited. 6)Other Do not hang bedding on the outer wall of the balcony to prevent it from falling down. 6 2015.9 2.Move In and Out instructions (1)Move -in 1)Documents Submit the following documents to the Dormitory Manager’s office as soon as possible after moving in. ① Pledge -Requires a signature or stamp by the resident. ② Notice of Residence -Fill out, sign and paste an ID photo on the application. ③ Notice of Student ID number & copy of your student ID card -Fill out the notice and submit a copy of your Student ID to the manager’s office as soon as you get your Student ID card from Kyushu University. ④ Application for Automatic Withdrawal -Fill out and stamp the application form (see Appendix, p.12 for examples). -If you opened a bank account with your signature instead of a stamp, also sign this application. ⑤ Cycle Parking Permission Application (*only for those who use a bicycle or motorcycle) -Fill out the application form and submit to the dormitory manager’s office if you have a bicycle or motorcycle. -Residents are only permitted to have one bicycle or motorcycle. 2)Room change request In general, requests for a room change are not accepted. If you are having any serious trouble, report it immediately. Cleaning fee will be charged if a room change is determined necessary. 7 2015.9 (2)Move - Out 1)Rules and Procedures ① All residents are required to move out by the end of the permitted residence period. ② Submit the Notice of Move-out to manager by one month before your move-out date, e.g. If you plan to move out on August 10th, you must submit the notification by July 10th. ③ Do not leave any personal belongings or garbage in your room or post box. ④ Remove all garbage and clean your room and balcony. ⑤ Make an appointment with the dormitory manager to check your room before moving out. If any damage is found or cleaning is required in your room, all or part of the 30,000JPY deposit fee will be kept as payment for repairs. ⑥ Make arrangements for moving out by yourself. ⑦ The amount of the 30,000JPY deposit to be returned to you will be calculated when you move out. ※If you move out without any notice, you will continue to be charged for the room rent, utilities, and common fee. DO NOT FORGET to let us know when you are leaving. 2)Eviction If the resident fails to comply with the rules and regulations of the dormitory or if any of the following apply, the resident will be evicted immediately. ① As a result of disciplinary action or punishment. ② If the resident is found to have engaged in theft, sexual harassment or molestation, or unlawful activities. Be sure to cover the bedding with the given covers before use. Wash the covers regularly for clean and comfortable use.
