About the handbook
Congratulations on your pregnancy. We hope your maternity time goes smoothly for
you and the new life carry.
OIST has prepared this handbook which describes basic matters such as the
government procedures required after you discover you are pregnant, reports needed at
your workplace, and OIST’s maternity leave, child-care leave, and return to work
procedures.
It also explains in detail things like OIST’s rules and required documents that need to
be submitted which are separate to those required by law. If there is anything you do
not understand or something you feel anxious about, in addition to your family, please
consult with your supervisor or other OIST mothers and OIST’s Infant Parents Group.
Please accept hints and wisdom from all these helpful resources and enjoy this happy
time of maternity life, childbirth, and child-rearing.

1. After you know you are pregnant
1.
Your obstetitian will issue a “pregnancy certificate” at about 8 to 10 weeks.
2.
Submit the pregnancy certificate to the local government office where you live and
receive a maternal and child health handbook.
3.
After receiving your maternal and child health handbook, report your pregnancy to
your workplace within 1 month.
(There are individual differences, but the time that you receive your maternal and child health handbook may also be the
period when you have hyperemesis (morning sickness). Report your pregnancy as soon as possible to your supervisor.)
4.
If possible, report at least 6 months ahead of the estimated date of delivery on
taking child-care leave and your desired timing for returning to work.
* Depending on your unit or section, a replacement may have to be searched for, regardless of whether or not you will
return to work. Please cooperate with the search so that the handover can take place smoothly.

Important
things
Another person will do your work in your stead while you are on leave. Taking leave is a right, but remember
that “somebody else is doing your job because you are exercising your right” rather than thinking “of
course, somebody is doing my work for me” and communicate a feeling of “appreciation.”
Keep your work place arranged in good order at all times and organize contacts of work-related people
somewhere that is easy to find.
Report to and consult with your supervisor often so that work can be arranged to suit your physical condition and you can continue to work
until your maternity leave. Individual differences in the process of pregnancy are great and the state of the mother or fetus can change
rapidly. Use your “Maternity Health Care Guidance Contact Card” so that you can communicate the details accurately when there has
been a change in your condition and when you have received guidance from a doctor or midwife.

Gynecological checkups
You can receive 14 checkups required during your pregnancy free of charge with the costs borne by the local
government.
(Please be careful as there are expiry dates on the 2nd to 5th checkups).

Mothers’ (parents’) classes
・Opportunities are provided by each department of obstetrics and gynecology or local government, etc., to learn about physical and
mental changes during pregnancy, childbirth, and child-rearing.
・There are also chances for information exchanges between expecting mothers and to be able to consult with a midwife or public
health nurse over your anxieties or questions, etc.
・Please confirm the schedule with your department of obstetrics and gynecology or the local government where you live and make
sure to use these opportunities.

2. Procedures for maternity and childcare leave at OIST

4. Returning to work after taking maternity/
childcare leave
Step 1
Investigate in advance which child care center will be
good
If possible, it is better to do this prior to childbirth when it is easy to move around
Step 2
Determine the timing of your return to work
Communicate with your colleagues and supervisor, etc., from about 3 months prior to your desired date for
returning to work and confirm in advance the current situation and any points that have changed
Step 3
Narrow down the child care center choices to about
3 preferred ones
- Child care center educational policies
- Feeding
- Distance (time) from home => child care center => workplace
- Number of children on waiting list
- Possibility of extended child care hours
- Handling of allergy foods, etc.
Step 4
Submission of return to work request
- Request to return to work after maternity leave
- Request to return to work after child-rearing leave
In principle, submit requests to the HR Operations Team at least 1 month prior to the scheduled date for returning to
work
Step 5
Child care center admission application procedures
The documents to be submitted differ between certified and non-certified centers. If you wish to enroll your child at
a certified child care center from April in the new fiscal year, you must submit the required documents to your local
government office by November of the previous year.

Ask the HR Operations Team about the filling in of certificates and documents from the workplace and the
impression of official stamps, etc., at an early stage.

Confirmation of child-care support at home after
returning to work
Confirm clearly in advance with your spouse about role sharing after returning to work, etc., including the handling
of sudden illnesses and going to pick-up your child from child care, etc.
Step 7
Notification of determination of entry into a child care
center
There will be an interview at the center (local government office) when entry into child care is determined. Please
also confirm the timing of the child care adaptation period. The first day back upon returning to work and the child
care center entrance ceremony can overlap. Also, prepare at an early stage the things that will be required for time
at the child care center, etc. We recommend using temporary child care until your child enters a child care center.
Step 8
Interview with your supervisor (month day time)
Set up an interview with your supervisor at an early stage. Also, communicate things like how to work after
returning to work and things that you want to be considered, as well as the state of health of your child, etc. Do not
forget that this is not a natural right and to have feelings of appreciation and consideration for those around you.
Step 9
Date of return to work (year month day)
You will be nervous on your first day back after returning to work even if you are in a workplace that you are used
to. Get used to things again slowly so as to not fall into poor health from trying too hard.
