"Return" will return you to previous screen without saving Report Period The UAF AAR report period is July 1 - June 30. 1. Generally, F180 "start semester" will be "late summer after 7/1" and "End semester" will be "early summer before 6/30." 2. You may select other values for "start semester" and "end semester" if appropriate for certain activities. Examples might include sponsored projects or committee service that began in a previous semester or year or will continue into a future semester or year. The latter will allow you to "bring forward" the activity in the future. 3. You may use the free-text "description" boxes for additional comments, e.g. clarifying the duration of a short course or research activity lasting less than one semester. 4. All data you enter into the AAR form will appear in your AAR report as long as the time period you indicate for an activity includes at least one day within the AAR report period. 5. Each year, you will have the opportunity to bring forward, edit, or delete activity, as appropriate. Enter data for the Annual Activity Report There are two ways to enter annual activities into Faculty 180 A. Home (tab) > Input Forms (section) > Complete Activity Input Form (link) 1. This option is only available after UAF opens an F180 activity report period. 2. Provides access to all AAR sections, including: a. Workload Summary (Section1) b. Teaching: Instructional Activity - Credit (Section 2) • Teaching: Credit data will be loaded into F180 from Banner three times per year-fall, spring, summer--approximately three weeks into the subsequent semester (e.g. mid-September for summer courses). B. My Data (tab) > Standard Input Forms (section) > Activity Input Form (link) 1. Except for the Workload Summary and Teaching: Credit sections, you may enter data into all other sections of Faculty180 at any time. a. For each section, select Add (button). b. Select the icon for item-specific "help." c. To view or edit activities entered in prior years: • In the Activity Input template showing all AAR sections, click the "expand" icon. • Under "Edit/Delete" click the "edit" icon. • Make changes and save. c. To save entries, be sure to select "save and add another" or "save and return." "Return" will return you to the previous screen without saving your entry. C. Using either (A) or (B) above, all data you enter will appear in each year's AAR template if: 1. It is relevant to the AAR 2. The time period you indicated for the activity corresponds to or includes the AAR report period. Classify courses A. In section 2, "Teaching: Instructional Activities - Credit," the rightmost column heading "Classify" is a required field. 1. Under "Classify," click the hyperlink. • Indicate whether the course was co-taught or not, and the type of course • Save B. If you believe that course data loaded from Banner is incorrect: 1. Under "Classify," click the hyperlink. • Change "Is a correction needed" from default "no" to "yes" (dropdown). • Describe "correction needed" (textbox). • Save 2. This will signal your unit-level system administrator to make the necessary changes to correct the data so it will not reappear in future loads from Banner. Attachments and Links All F180 AAR sections except Workload Summary allow you to include attachments and links. 1. In Section 2, Teaching: Credit, go to sub-section E, Course Attachments. 2. In all other Sections, go to the bottom-most sub-section. • Select "file" or "URL" and add your attachment or link. 3. To assure that attachments and links have been saved: • icon under the "Edit" column allows you to In the Activity Input Form, clicking the view, edit or delete attachments, and test links. "Un-submit" a report If you need to edit an Activity Report after you have submitted it, ask your unit-level system administrator (often the unit Administrative Assistant) to "Reject" your report. This will reopen your Activity Report for you to edit. Print or Export Reports and Data A. In general, note that F180 uses the terms "CV" and "vitae" to refer to three different output formats: 1. AAR: UAF default output as described in "Preview," below. 2. Standard CV: F180's generic CV format 3. Personal CV: optional formats prescribed by federal agencies or designed by you B. Print or export reports in multiple formats. 1. UAF Annual Activity Report format or F180 Standard Curriculum Vitae format a. My Data (tab) > My Reports (section) > Vita (menu item). • Select type (standard or personal) and dropdown option (CV or AAR). • Select date range or "all." • Click "Refresh Report." 2. Create custom vitae templates (NIH, NSF, USDA ) or personal variation(s). a. My Data (tab) > Other (section) > Manage Vitas/Biosketches" (menu item). b. Select "Add" • Enter name you prefer • Select template you prefer as a point of departure • Select "edit," then select sections and arrange them in your preferred order • Save c. After saving, the new template(s) become available under: • My Data (tab) > My Reports (section) > Vita" (menu item) • Click "Personal" radio button • Select vita template (dropdown) • Select time period or "all." • Refresh report C. Print or Export data 1. My Data (tab) > My Reports (section) > My Activities (menu item). a. Select details: • Measure, status, time period, detail mode b. Click hyperlinked number corresponding to activity (row) and semester or total (column). c. Choose "additional columns" if desired d. Print or export to .doc, .xls (csv), or .pdf 2. Select other activity types: a. From same screen via Details > Columns OR b. Return to My Activities via breadcrumb trail (upper lefthand corner of screen) Update Status of Publications 1. My Data (tab) > Standard Input Forms (section) > Activity Input Form (menu item) • In section you would like to edit (e.g. Research), click section title (expand) icon to left of • • For specific item you would like to edit (e.g. journal article), click (edit) icon in right hand column. Make desired changes (e.g. update status from submitted to published) Preview your AAR as your dean/director will see it: 1. Home (tab) > Messages (section) > Complete Activity Input Form (link) 2. Preview CV (button, bottom of page) 3. select Template, Start Semester and End Semester (drop-downs) 4. Preview (button) View your dean or director's comments If your dean/director reviews your AAR within the Faculty180 system, you may view and respond to those comments within the system, if you choose to. 1.
