Dear Parents:
Welcome to the 2014-2015 season! The purpose of this letter is to provide you with important
information regarding our Association and the responsibilities of the parents and participants.

Registration:
The registration fees are as follows: $85.00 for one child
$120.00 for two or more children
Checks should be dated September 25, 2014 (Registration Night) and will be cashed immediately. If
your child leaves a team, speak with an executive board regarding a refund. If the bank returns your
check, all fees must then be paid in cash.
All participants must attend OLV School, OLV Religious Education, or have a letter from Out of
Parish which indicates they attend another religious education school out of Parish.
Regular attendance at Mass is also required.
Uniforms:
As part of the registration fee, individual uniforms will be purchased for each basketball player.
Parents will be responsible for providing the correct uniform sizing as uniforms cannot be returned due
to improper sizing after they are purchased. These uniforms will become the player’s property and they
can keep their uniforms at the end of the basketball season. New uniforms will be purchased each year.
There will be no refund or crediting of any part of the registration fee should a player’s parent decide
not to order a new uniform for the upcoming season. It is suggested, that all uniforms will last longer
when they are washed in warm water and dried on low heat (basketball uniforms) or hung to dry (cheer
uniforms). Use of high heat to dry uniforms will melt the numbers.
All basketball players are required to wear a support sneaker for all games and practices.
Cheerleaders must purchase socks, shoes, bow and bloomers. DO NOT purchase anything on your
own. Coaches/team parent will advise and assist you with the purchase.
Work Bond:
A separate work bond check of $300.00 per family is also required at the time of registration. This
check, dated March 31, 2015, will not be cashed and will be returned to you after completion of
twenty (20) work bond hours and if on cheer your child’s uniform has been returned in satisfactory
condition. Should you choose not to work, please date your check September 26, 2014, so it may be
cashed immediately. We need assistance throughout the year. All 20 hours can not be completed at
one time. At least two (2) of your “shifts” need to be at the concession stand.
Work bond Jobs: **20 Hours**
The concession stand, admission stand, 50/50 raffle and the cheer competition remain the main source
of revenue that keeps our Association running, it is vital that we have proper staffing at all times. This
year you will be required to do at least two (2) concession/admission stand slots totaling between 6-8
hours. The remainder hours can be completed by events or more concession admission stand slots.
*Cleanup Day – Cleanup day is October 19, 2014. We prepare the gym, athletic association room and
refrigerator for the long season ahead. This year we need to paint the bench in the waiting area and the
blue door in the gym.
*Spooktacular – Spooktacular is October 25, 2014 from 6-10pm. This event we need at least 10
volunteers to assist with selling tickets, watching the children, assisting with the giving out food from
the kitchen and set-up/clean-up.
*Concession/Admission Stands – The concession and admission stands are open during all games held

at our gym. We require 3 workers at all times, 2 to prepare and sell refreshments and 1 to collect
admissions and assist with the selling of 50/50’s (if applicable). Last year the gym was open for over
300 hours for games/tournament. All workers are required to cleanup in the gym between games. At
the end of the night everything must be put away and cleaned for gym classes on Monday mornings.
*Mardi Gras Party – Mardi Gras Party is February 7, 2015 from 6-9pm. This event we need at least 10
volunteers to assist with selling tickets, watching the children, assisting with giving out food from the
kitchen and set-up/clean-up.
*Cheer competition - March 8, 2015. Every season we host a Cheer competition that needs ~20
workers per hour. The day itself can run anywhere from 5-10 hours in length. Jobs range from selling
admission tickets, preparing foods in the kitchen, working the kitchen, selling cheer grams, selling
50/50, etc.
*Additional Events – Throughout the season we try and offer and or assist with additional events that
either we or the parish runs.
*Team Parents and Assistant Coaches – They are not exempt from the ordinary work bond hour
requirements. However, these volunteers will be credited for 10 work bond hours at the conclusion of
the season should they fulfill their responsibilities as Team Parent and Assistant Coach. If interested
speak with your child’s head coach and/or Dom Patella.
*Head coaches – They will continue to be exempt from the work bond requirement; however, they are
required to do board hours. These board hours far exceed the 20 hours.
*Work bond sign up will be on the website www.OLVAA.COM or [email protected]
The website allows for only 3 individuals to be signed up at a time. Once you’ve signed up to work, it
will send you a confirmation. It is your responsibility to work your scheduled time slot or to find a
suitable replacement. If you know in advance you are unable to work your shift you can “delete”
yourself from that day opening it up for another individual. A reminder email will be sent to you the
day before your scheduled time to work. If you have any problems DO NOT REPLY to that email, it is
the website not an OLV board member. Last minute emergency cancellations must be communicated
to Michele Brennan as soon as possible to ensure coverage. Please make sure to sign in on the paper
that will be located on the side of the refrigerator on completion of your shift sign out AND make sure
to have a board member initial. It will be cross checked with the website and paper for hour fulfillment.
On certain occasions (need multiple volunteers) you will be asked to sign up on the gmail account
which is monitored by an OLV board member. Certain events will state – NO HOURS which means no
hours are offered but we want to inform you on the website. OLV Athletic Association does not want
your work bond money. We would rather have your participation in our program to help it run as
smooth as possible.
Admission:
Everyone is required to pay admission to basketball games. The cost is $2.00 per adult and $1.00 per
child, for games played at OLV, away games may vary. All admissions collected at OLV are used to
keep our organization running; paying for referees, scorekeepers, tournament fees, league fees,
competition fees, gifts for the participants, awards nights, uniforms, etc. You do have an option for the
family pass (see below).

Family Pass:
As a courtesy to our parents we offer a family pass for $35.00. This pass enables the family to attend
OLV league games without paying admission every week. The Family Pass only covers the
immediate family (people living in the actual household). The family pass is only valid during regular
season league games at OLV. IT IS NOT VALID DURING ANY OLV TOURNAMENTS OR
CHEER COMPETITION.
Practice:
Practice will be held 1 to 2 nights per week. Your head coach will provide specific dates and times for
your team. Practice nights will vary. Check the website for regular dates/times. Your coach will inform
of any changes to your regular scheduled practice day/times. NO TEAM IS GUARANTEED THE
SAME PRACTICE TIME FROM YEAR TO YEAR. Lack of attendance at practice will result in
reduced playing time during games. It is important to make every effort to be at practice. Coaches are
teaching new plays and cheers each week.
REMINDER: Parents are not permitted in the gym during practices. All practices will begin
promptly at your teams scheduled time; all children should arrive 10 minutes early to ensure
they will be properly dressed and ready to begin on time.
Issues and Concerns:
Any problems you may have regarding your child are to be discussed with the head coach first. If the
head coach is not able to resolve the issue to your satisfaction, the Executive Board will then review
the issue and a ruling will be provided to the coach and parent.
The Board will not review basketball playing time on JV and Varsity teams.
Fund Raisers
These fundraisers are vital to the organization. They allow us to make necessary maintenance and
repairs to Monsignor Dalton Hall. As with our own households, emergencies also arise that require
immediate attention. Your help is vital to the parish and the Athletic Association as we try to keep up
with the rising utility bills associated with MDH. If not for your continuing fundraising efforts these
general and emergency repairs would not have taken place. Please assist as much as you can. If you
have an idea for additional fund raisers see a board member to discuss.
*50/50 - Each family is responsible to sell a Mandatory $50 super 50/50 booklet. The winner will be
announced at the conclusion of the O.L.V Christmas Tournament on 1/1/15 @ ~ 3pm. Additional
tickets will be available to sell. They will also be sold during OLV games.
Midnight Madness:
Midnight Madness is scheduled for November 8, 2015 at 7:00pm. This is a fun and entertaining
evening with a DJ designed for a positive start of the new season!
Tip-Off Mass:
This year’s Tip-off Mass has been scheduled for November 9, 2015 at 9AM. It is mandatory for all
participants to attend. All children should be dressed in their uniform tops for basketball and full cheer
uniform. If you have not received a uniform discuss with your coach. Light refreshments will be served
in Monsignor Dalton Hall following the mass.
New Year’s Eve Party
Come join us as we ring in the New Year! The Athletic Association is proud to; once again, host a

New Year’s Eve Party for the whole family. This will be a Pot Luck dinner. There will be plenty of
fun, food, games and DJ music. Watch the “ball drop” together and enjoy a family-style New Years.
Picture Night: January 15, 2015 (Tentative)
Your team parent will hand out order envelopes with your team’s assigned time and date. Please make
every effort to attend.
Awards/Family Night: April 11, 2015 6PM – 10PM (TENTATIVE)
Awards/Family Night will follow a similar format from previous years with an awards presentation
coupled with a dinner/buffet and DJ. NO ONE will be admitted into the cafeteria without a ticket.
Tickets are sold prior to the event. A family member must attend with their child. This is an enjoyable
family outing to show your support review your child’s accomplishments.
Tournaments:
OLV AA - will be continuing the tradition of hosting the Monsignor Dalton Christmas Tournament
during the month of December, ending on New Year’s Day. This is a very hectic time of year for many
of us, but we need your help in making this tournament a success. Please offer any time you have
available to work at our gym. For many of our teams the games played during this tournament will be
the only game played at OLV. Please come out to support your team and bring the whole family!
Monthly meetings:
The Athletic Association meets the second Wednesday of every month at 7:00pm. The meetings are
held at Monsignor Dalton Hall and everyone is invited to attend. We welcome your questions and
concerns.
No Heelies or Balls!
Due to insurance, safety and maintenance issues, we ask that all players and attendees to OLVAA
functions at Monsignor Dalton hall refrain from wearing “Heelies.” Also no personal basket balls will
be aloud in the gym. We appreciate your anticipated cooperation with this request.
A Final Note:
With all your help and cooperation we look forward to a successful year and hope your children will be
provided with an enjoyable experience.
