Photo ID – Access Badges at ANW Fall 2014
The recent Allina Health Photo ID badge policy change for students has resulted in some concerns about
the impact of the change at ANW. To reduce the stress of staff and students on the units at ANW, we will
be implementing a modified approach this fall. The process will be reviewed again for next semester, so
please be alert to future possible changes.
A few key notes:
o Students MUST wear their school photo ID badge even if they do have an Allina Health badge.
o Students who are also employees must NOT use their employee badge during their student clinical hours.
Group 1: Any student assigned in the following departments WILL be granted Allina Health Access Only
ID card as long as:
• The clinical experience is scheduled to be longer than 16 hours.
• The faculty submits the roster to the Photo ID office per the directions.
• Emergency Department – All Students
• Mother Baby Center – All Students
• Surgical Services – All Students
Group 2: The following students WILL be granted Allina Health Access only ID card as long as:
• The clinical experience is scheduled to be longer than 16 hours.
• The faculty submits the roster to the Photo ID office per the directions.
• Cardio-Vascular Techs
• Respiratory Therapy
• Laboratory students
• RN
• Mental Health students
• Social Work students
• Psychology students
• SRNA’s
• Radiology (includes Ultrasound)
• Surgical Techs
• Rehab Services /Therapy
Group 3: The following students will NOT be granted Allina Health Photo ID or Access badges unless they
are in one of the departments listed under Group 1.
• Acupuncture
• Massage
• Chiropractic
• Neurodiagnostic Techs
• Dietician
• Nursing Assistant
• Genetic Counselor
• Radiation Oncology
• HUC
Group 4: Unless they are in Group 1 - the faculty of the following students will need to discuss the need
with the unit contact/department management to determine Allina Health Photo ID Access badges
• APRN (CNS, CNM, NP/DNP, MSN)
• PA
Consideration for an Allina Health access badge must revolve around does the student clinical expectations
require the student to have access to locked areas and will the student NOT having access put an undue burden on
the staff to help students access needed areas. During the fall semester, we would ask that if you currently allow
students to have an Allina Photo ID – Access badge, are there alternative methods of providing the needed access
that would promote safety and security and minimize the resources needed to manage?

How do faculty and students obtain badges if they are on the approved list?
ATTENTION! There are changes to the process AND this fall ANW is no longer issuing picture badges to the
students so a school picture ID HAS to be worn at all times.
Process:
o If this is a case by case student, discuss the need with the unit contact/department manager.
o Fill out the Preliminary roster with employee number (sent to students by email with their A# - this
is the 1004567 type number.)
o Send preliminary roster to [email protected] at least a 2 weeks prior to the student arriving to
request the badge.
o Some Access ID Badge requests may not be granted if they do not meet the criteria.
o Students MUST turn in their access badges at the end of their clinical experience. If they expect to
be back the next semester, they must notify the Photo ID department. Faculty is responsible for
ensuring this is done. If a trend is noted that a school is not ensuring that students are returning their
badges, the students from that school may lose the privilege of having an Allina Health Access
Badge.
o There is a $10 fee for lost or not returned badges.
The Photo ID and Parking office is:

** If a roster is not sent to Candy at least two weeks in advance you will have a delay in getting in locked
areas. The new change allows for the access only cards to have the students name on, and to be activated to
work on the first day. These cards can NOT be shared, as they still are assigned to each student’s profile.
Please note, if you show up the first day in a group and no roster was sent you will be turned away and not
receive anything as the process is noted above. You will then have to wait an additional week to receive the
access cards.
**When a roster is turned in to Candy she will also email you the parking code to enter when getting a
ticket you will also need this the first day, no refunds will be given and this is also outlined in this packet.
