Page 2 of 11 Q-Pulse and Datix Integration The integration of Q-Pulse to Datix has been designed to significantly reduce the time and effort healthcare staff spend on reporting incidents by closing the compliance feedback loop to clinical departments when they are raised. Q-Pulse – Mandatory Reporting System (MRS) Q-Pulse’s Mandatory Reporting System is a fully integrated module for the reporting, management and analysis of all forms of data across an organisation. To implement the Datix integration, the Q-Pulse Mandatory Reporting System (MRS) comprised of the Occurrences and Incidents modules is required. The Occurrences module is used to report issues. Once reported, the Incidents module is used to investigate the issue, risk assess and manage through to closure using defined workflow. Q-Pulse Datix Integrated System Overview Terminology used within this document: Q-Pulse Occurrence = Datix Incident IR-1 = Incident Report form DIF = Datix Incident Form There are 2 possible scenarios for reporting and managing issues: Scenario 1: Report Incident in Datix, use Q-Pulse to investigate & close Incident, update Datix An IR-1 report is raised in Datix, mapped fields within the report are then automatically copied to the Q-Pulse Occurrence form. The incident is investigated through to closure in Q-Pulse with closure details then being submitted back into Datix. Q-Pulse is a registered trademark of Gael Products Ltd. Q-Pulse Integration Service (QPIS) locates the IR-1 form (DIF) that has been raised in Datix. 2. QPIS copies the required fields to an equivalent Q-Pulse Occurrence form. 3. A new Occurrence is then raised in Q-Pulse and, on acceptance, generates a new Q-Pulse Incident investigation: a default template loads with a defined staged workflow, including risk assessment and classification. 4. The Incident is managed through to completion in Q-Pulse. Workload, actions, messaging, reminder and escalations are used to assist with this. The completed Incident is classified within Q-Pulse using the Datix Common Classification System (DCCS). 5. On completion of the Incident, QPIS reports the completed status, the classification and a summary of stage closure details back to Datix. Scenario 2: Report Incident and manage Incident through to closure on Q-Pulse, notify Datix of Incident and send closure details to Datix. An IR-1 report is raised in Q-Pulse Occurrences module An IR-1 report is raised in Q-Pulse Occurrences module or via an anonymous reporting web portal. Datix is informed of its creation but it is investigated through to closure on Q-Pulse. On closure, the classification and a summary of stage closure details is submitted into Datix. 1. On acceptance of the Q-Pulse Occurrence form a new Q-Pulse Incident is generated: a default template loads with a defined staged workflow, including risk assessment and classification. Page 4 of 11 Q-Pulse and Datix Integration Methods of reporting using Q-Pulse Q-Pulse Client Reporting of Incidents using the Q-Pulse Occurrences module can be performed using the Q-Pulse client user’s own PC*. Web Interface Reporting of Incidents using the Q-Pulse Occurrences module can be performed using the Q-Pulse web client* Mobile Device By using Q-Pulse’s iPad Reporting app, Incidents can be raised in Q-Pulse and integrated with Datix ‘on the go’ for further flexibility and accessibility*. *Applicable to Scenario 2 only. Q-Pulse Integration Requirements and Technical Overview Integration with Datix is version specific, meaning that you need to ensure your Q-Pulse and Datix systems are at a minimum level before both systems can be linked. Q-Pulse must be at a minimum of version 5.95 (available Q1 2014). To check your Q-Pulse version: 1. Launch Q-Pulse. 2. The build number will be displayed at the bottom left hand corner. Datix must be at a minimum of version 12.2. To check your Datix version please consult your Datix Administrator. Q-Pulse Application Server Minimum Requirements The dynamic nature of data used in the Occurrence and Incidents modules requires additional processing power and memory than the Q-Pulse QMS system. As a result, it is important to ensure your Q-Pulse server and client PCs meet the minimum requirements for an MRS system. Page 5 of 11 Q-Pulse and Datix Integration 1-25 Concurrent Q-Pulse Users Processor 2.8Ghz Core Xeon processor or better RAM 4GB or better 25-50 Concurrent Q-Pulse Users Processor 2.6Ghz Quad Core or better RAM 8GB or better 50+ Concurrent Q-Pulse Users Processor 2 x 2.6Ghz Quad Core or better RAM 10GB Please be aware that the server chosen to host Q-Pulse MRS must be scaled to suit the installation environment, for example, an organisation that has 5 Q-Pulse users operating within a local high speed network will have different hardware requirements to that of a multi-office organisation with over 100 concurrent users. It is also important to note that the number of concurrent users may rise with the purchase of the MRS module and the Datix integration; this should be taken into account when provisioning a server. It is recommended to account for a potential increase in users as your MRS system matures. Client Hardware Recommendations The minimum client requirements for an MRS system are: Processor 1.7Ghz or better RAM 2GB or better Operating System XP or newer Mandatory Reporting System (MRS) Licensing The MRS licensing system is concurrent, meaning Q-Pulse users will share from ‘pools’ of available Primary licences, Secondary licences or Business Restricted licences. Licences cannot be shared between ‘pools’. Licences are only used when a user is logged into the system. Primary Licences – Administration, Reporting and Management Primary licences are full Q-Pulse user licences and can be assigned access to all areas of the system. Web client: Access Occurrences module Create, read, print and delete occurrences Edit occurrences and edit new occurrences only View and edit confidential fields Edit “office use” fields Create, edit and delete notes Edit occurrence attachments Incidents Windows client: All permissions available as per security access rights assigned. Web client: Limited read access to Incident details via their associated Occurrence records. Secondary licences provide access to functions that are secondary to the day-to-day operation of Q-Pulse as per security access rights assigned. Page 8 of 11 Q-Pulse and Datix Integration Restricted Licence – Reporting only Restricted licences are a retired licence option that was available alongside Primary licences before Q-Pulse 5.6 was introduced. Although still used by some organisations, they are no longer commercially available and offer very limited access to Q-Pulse modules. They allow access and functionality within the Occurrence module but do not have access to the Incidents module. System Configuration Your Q-Pulse system will be configured by Gael’s Professional Services with configuration requirements dependent on your use of MRS and the scope of the project. Q-Pulse Enterprise databases will require additional Professional Services. Notes Datix is updated frequently due to web hosting. In terms of Datix and Q-Pulse change control, this must be assessed and controlled through Change Management with your organisation.
