EMAIL PHOTO FUNCTIONALITY - USER GUIDE
INTRODUCTION
The Photo Capture functionality has been developed to allow technicians to take photographs of items during
a health check.
This functionality allows images to be captured and shared with the customer in order to support the findings
of a health check.
Multiple photographs can be taken for each item.
The photographs associated with each item on the health check can only be emailed from the individual item
within the health check; it is not possible to send all the photos on the health check in one email that are
associated with different items.
In order to track which items have a photo, it is recommended that the technician adds a comment indicating
that there is a photo attached to the item.
This user guide takes you through the step by step process for taking a photo, Photo Capture, and emailing the
photo to a customer, Photo Send.
SUPPORTED HARDWARE
BTC Solutions currently support iPad; iPad Mini; iPhone; iPod Touch; Samsung Galaxy 2 and Nexus 7.
The Photo Capture and Photo Send functionality is available on all of the above devices.
SUPPORTED BROWSERS
BTC Solutions currently support the following browsers; Safari; Google Crome; and Firefox.
Users must be using one of the browsers listed above.

Whilst completing the vehicle health check, the technician can take a photo of the identified issue using the
Take Photo button.

The technician can choose to take a new photo using the Take Photo option; or an existing photo can be
chosen from photos stored on the device.

The technician should then use the
icon to take a photo.
The Cancel button can be used to return to the health check.
The photo will then be displayed on the iPad to preview.

If the technician is happy with the photo, click on the Use button to select the photo.
Alternatively the Retake button can be used to retake the photo.
When the technician clicks on the Use button; the photo will be added to the VHC.

If the technician has taken photos of the vehicle, or specific items prior to starting the health check, there is
the option to select existing photos from the device.
The technician should click on the
Existing from the options.
button and then select Choose
The device will then list the available locations to pick an existing photo from.

In this example, the technician would click on the Camera Roll option.
The available pictures on the device will be displayed and the technician should click on the photo that they
want to select.
The selected photo will then be displayed on the health check.

TAKING MULITPLE PHOTOS FOR ONE ITEM
The technician can take multiple photos for one item; they simply repeat the same process to add another
photo to the open item within the health check.
When there is more than one photo associated with the item; the technician can see the number of photos
displayed above the image.
To view the different photos, the technician should click on the number of the photo they wish to view.

To send the photo, first double click on the item in the health check; then click

is clicked, an ‘Email Photo to Customer’ pop-up window will appear.
The pop-up window will display the email address for the customer; the email subject and the email message.

Email address – defaults to the customer email address
Email subject – defaults to ‘Vehicle Health Check Photo’
Email message – defaults to ‘The following photo was taken whilst performing your Vehicle Health
Check:’
All of the above fields are editable.
If there is no photo available for the item, the following pop-up will be displayed.

SENDING A PHOTO FROM THE AUTHORISATION SCREEN
Photos can also be sent from the Authorisation screen.
When the user is viewing the items in the authorisation screen; any items with a photo associated with them
will have a camera icon
displayed next to the item.
The Sales Advisor then right clicks on the line with a photo associated, and selects
from the list.

To send the photo,, scroll to the bottom of the popup window and click on the
button.
A progress indicator will display whilst the photo is being sent.

Once the email has send successfully, an email sent message will appear in the pop-up

RECEIVING THE EMAIL
The customer will then receive a separate email for each photo that has been sent.
