CWDkids ORDER & SHIPMENT GUIDELINES
You will receive two orders from CWDkids, a Bulk Purchase Order (Bulk PO) and a Quality Control Order (QC
PO). To handle and process your shipments as quickly and economically as possible we ask that you comply with
the guidelines set forth in this document. Throughout the process communication is paramount. Please advise us
immediately if there are any changes to the order such as potential delivery delays or item specific changes. Failure
to comply with certain guidelines may result in non-compliance fees detailed below.
Important: Under no circumstance will we accept delivery of any merchandise in our Martinsville, VA warehouse
before we receive the Quality Control Order at our corporate office in Henrico, VA and authorize you to ship the
Bulk Purchase Order.
Bulk Purchase Order
You will receive a worksheet with a purchase order number assigned that will be denoted by the number 1 or 2 in
the beginning of the purchase order number. Price, required delivery date, quantity, style number, terms and hold
for confirmation expectations are detailed. Please send back the acknowledgement form that accompanies the order

General Shipping Guidelines
Please note there are additional guidelines detailed below for the QC purchase order shipment. Failure to comply
with any of the guidelines below may result in additional fees as set forth in the Non-Compliance Fee section. For

All garments must be folded and individually polybagged in plain bags.
Pre-approval is required to send merchandise on hangers.
Each bag should be labeled in the upper right corner with the CWDkids item number, CWDkids color code
and CWDkids size (as listed on the purchase order). Computer generated labels are preferred.
Carton size must equal L18.5 x W14.0 x H13.0. (See exceptions in Additional Notes section)
Place packing list on the outside of the lead carton.
All cartons must be marked in the upper left corner of the end of the carton with Bulk PO number and
content information (CWDkids item #, CWDkids color, CWDkids size & quantity). Cartons must be
marked 1 of 3, 2 of 3, etc. If information is printed, minimum label size is 4x4 inches with minimum font
size of 15, black ink; if written, a black marker is required; handwriting must be legible.

Maximum carton weight is 40 lbs. Make sure boxes are a minimum of 200 pound test.
When possible pack cartons with only one style, color and size (SKU). If mixing SKU’s is necessary to
minimize freight costs please segregate the SKU’s with a piece of paper or cardboard. Exercise good
judgment in determining when mixing SKU’s is appropriate.

merchandise, including the number of boxes.
If CWDkids is responsible for freight charges ship as listed below (not applicable for prepaid vendors).
Important: If vendor charges freight to our UPS account and on the invoice, a full freight chargeback will
result.
When determining the proper shipping method, please consider all packages going out on the same day,
which could include multiple purchase orders.
a. Up to 199 pounds - use regular UPS (no insurance) shipments using our account number X64524
collect. Please include the purchase order number as the reference number on your shipping
document.
b. 200 – 600 pounds - use UPS hundred weight service for shipments (no insurance) using our
account number X64524 collect. Minimum box weight is 20 pounds. If carton is below minimum
weight requirement, please contact Tracey Coats with the total shipping weight and number of
cartons. When setting up your shipment on-line, make sure you list the total number of cartons
rather than entering each carton one by one to ensure they will be aggregated for hundred weight
service.
c. 600 pounds and over – use UPS Freight (previously Overnight Transportation) Freight Collect.
For pick up call 800-333-7400.
i. Mark Class 77.5 – Under heading of Description of Articles write: 049880-04 class 77.5;
Density 12 pounds or greater per cubic feet and actual value not exceeding $10.70 per
pound.
ii. Mark 3rd party billing & bill to Children’s Wear Digest
If UPS Freight does not directly pick up in your area call Tracey Coats to make alternative arrangements. If
your shipment is at least 4 skids and/or 5,000 pounds, call 1-800-266-6902 for volume pricing discount
before you ship. The quote is good for 7 days.

Additional Notes:
 Exceptions to carton size requirement: Costumes, Sweaters, Outerwear, Accessories, Toys, Gifts, and
Shoes. You may use a larger box size, but it should not exceed 5,184 cubic inches as computed by
multiplying length by width by height.
 You may purchase boxes directly from CWDkids. For more information please contact Tracey Coats.
 We do not pay freight on back orders. Back orders are considered a separate shipment against the same
purchase order number.
 All freight shipped the same day, on the same carrier, from the same origin, to the same destination, is to
move on one bill of lading.
 We do not pay handling charges.
 No substitutions will be accepted. Over shipments, unauthorized style, size and color substitutions will be
returned at the vendor’s expense.
 Merchandise not delivered within the stated shipping period will be returned at the vendor’s expense.
 Merchandise not approved in our quality control inspection and defective merchandise will be returned at
the vendor’s expense.

UPS freight overcharges will result in a complete freight chargeback. We weigh all incoming cartons and
compare against the UPS rate chart.
Quality Control Order
Quality control orders (QC’s) are purchase orders beginning with a 3 or 4. We will promptly advise you after
inspecting the merchandise and authorize you to release the shipment against our Bulk PO to our Martinsville, VA

Quality Control Shipment Guidelines
Failure to comply with any of the guidelines below may result in additional fees as set forth in Non-Compliance Fee
section.
1. Order should be polybagged in plain bags and clearly labeled in upper right corner.
2. Label should include CWDkids item number, CWDkids color code, and CWDkids size as listed on the
purchase order.
3. Each order should be packed, shipped and invoiced separately.
4. Mail original invoices to:

5. Include product specification sheet and CPSIA certificates for each item. Note: At the beginning of each
season we need an updated copy of the product liability insurance. You can include this with the first QC
of the season or send it to Sandra Williams.
6. QC order should not be in separate boxes by SKU. Merchandise should be packed in large boxes to
minimize freight costs. These boxes should not exceed 5,184 cubic inches as computer by multiplying
length by width by height.
7. All cartons must be marked with QC purchase order number and content information as follows: CWDkids
item number, CWDkids color code, CWDkids size, quantity & carton count.
8. Place packing list on the outside of the lead carton.
9. Send Regular UPS, collect, no insurance, and bill to our account number, X64524. Please include the QC
purchase order number as the reference number on your shipping document and use zip code 24112.
