Dear all
As in the year’s before we will organize a couple of information meeting, a photo shooting
and a season opening Press Meeting with the top three World Cup athletes in Kuusamo.
The detailed schedule and exact place will follow in October 2014 but here is already the
first draft:
Meetings:
Thursday, 27th November:
Team & Industry can pick up the big bibs and parking sticker in the stadium (more details
will follow by SMS)
Friday, 28th November:
15:30h
Season information to Teams and SRS will be given at the usual TCM
FIS opening press meeting
Season Opening Press Meeting with the top World Cup athletes. Time and place tbc and
coordinated through media coordinators and head coaches.
27th – 28th November: Athletes’ Photo-Shooting in Kuusamo
Official athletes photo shooting in collaboration with the Industry partners is taking place in
Kuusamo from Thursday 27th November to Friday 28th November from 09:00 – 16:00h in
the team area in one container (same place as last year).
Individual appointments can be made on Friday and Saturday with Nordic Focus directly –
contact Marco Felgenhauer +49 172 57 338 52.
Important: All national team athletes must come for the photo shooting to make pictures
for the TV inserts.
Note: Athletes do not need take their equipment (skis, poles, boots) with them. Everything
will be prepared.

• The OC offers following accommodation (full board included):
o Three star hotel Rantasipi Rukahovi next to the venue:
100 € per person in double room, single rooms outside the quota: 133 Euro
o Three star apartments (RukaTonttu, RukaSuites, AurinkoRinne, RukaVillage,
Rantasipi apartments) next to the venue:
100 € per person (minimum number of persons occur)
• Additional information about the accommodation will be given to the teams after
receiving preliminary entry and accommodation request
• Price for additional accommodation outside of the quota: 100 € per person in double
room or apartment (minimum number of persons occurs)
• Price for additional single rooms outside of the quota: 133 €
4. Transport (World Cup Rules Art. 11)
• Official airport : Kuusamo and Oulu
• The organizing committee will arrange transportation between the airports and the
hotels. 1 transport (from and to the airport) free of charge. Price for additional
transport :
− 125 € for Kuusamo airport (up to 7 persons=125 €, 8-17 p.=195 €)
− 575 € for Oulu airport (up to 7 persons=575 €, 8-17 p.=655 €)
− 540 € for Rovaniemi airport (up to 7 persons=540 €, 8-17 p.=620 €)
• Information to the Shuttle service
- (hotels – venue) : no shuttle service (walking distance)
5. Payment (World Cup Rules Art. 10 and 13)
• Accommodation costs: Teams will pay directly in the accommodation office until
28th November (persons from the pay lists will be paid by the OC directly).
Please note: Over quota cost has to be paid by cash or credit card

6. Waxing facilities (World Cup Rules Art. 14)
• Wax cabins : available from 24/11/2014 at 8 :00
• Waxing trucks : teams arriving with trucks have to inform FIS and the OC before

• The keys to the cabins are available at the competition office. The deposit is 100
€/team. Keys return to Ski Cafe/service area on the day of departure.
• Parking cards can be picked up at the competition office same time with the keys.

• The import, export and the operation of radio equipment in Finland is regulated by
national law. Permits for the use of radio transmission equipment must be
requested according to national specifications.

8. Regulations of Visa:
• Remember that citizens of some countries will need visa for visiting Finland. Please
check with your embassy if you need a visa for Finland.

4. Transport (World Cup Rules Art. 11)
• Official airport: Oslo Airport Gardermoen
• The organizing committee will provide transportation between the airport and the
hotels in Lillehammer. One transport per Team (from and to the airport) free of
charge.
Price for additional transport:
− 30€ per person from Oslo airport to Lillehammer (one way)
• The organizing committee will provide shuttle transport between the hotels and the
Birkebeineren Cross Country Stadium. The transport schedule will be informed at
the hotels and in the venue.
5. Payment (World Cup Rules Art. 10 and 13)
• Accommodation costs: Teams will pay directly in their hotels upon departure; the
OC will pay for all persons at the red group list.
• Carrying costs/Reimbursement :

9. Income tax information for prize money:
• The current Norwegian tax rate for non-resident athletes is 15%.
• Due to a special tax convention between Norway and USA and Russia, income tax
will not be deducted by the OC – “the income shall be taxable only in the State of
which the sportsman is a resident”
• Tax will be deducted by the OC according to the Norwegian Foreign Artist Taxation
Act, and taxes will be paid by the OC according to the regular tax legislation in
Norway.

• The keys to the cabins are available at the “wood pavillon Still”. The deposit is
EURO or CHF 50.00. Keys return on the day of departure.
• Teams using the wax cabins longer than 15/12/2014 have to inform the OC before
01/11/2014. The fee for longer use is CHF 50.00 per day and cabin.

ATA Carnet
The ATA Carnet is an international document for the temporary, duty-free admission of
goods. With the ATA Carnet Swiss and foreign customs formalities are completed
using one form. The ATA Carnet can be obtained from Chambers of Commerce and
Industry and releases the holder from any obligation to provide a guarantee when
crossing the border. In Switzerland the Chambers of Commerce and Industry provide
information on the conditions for receiving a Carnet, please see http://www.cci.ch/.
The ATA Carnet may be used for several border crossings and is valid for one year.
Instead of national customs documents, the ATA Carnet can be used for imports,
exports and transits purposes. The advantage is the swift passage through customs.
The ATA Carnet has a uniform appearance for all contracting parties to the
Convention on Temporary Admission of 26 June 1990 (the so-called Istanbul
Convention). It can be used in more than 60 countries.
When opening the ATA Carnet, the complete description of the goods must be (cover
sheet reverse) present. For the holder of the ATA Carnet, it is always possible to bring
the goods back into the domestic customs territory.
The use of the Carnet ATA is applied to durable goods but not to nondurable goods.

ATA Carnet
The ATA Carnet is an international document for the temporary, duty-free admission of
goods. With the ATA Carnet Swiss and foreign customs formalities are completed
using one form. The ATA Carnet can be obtained from Chambers of Commerce and
Industry and releases the holder from any obligation to provide a guarantee when
crossing the border. In Switzerland the Chambers of Commerce and Industry provide
information on the conditions for receiving a Carnet, please see http://www.cci.ch/.
The ATA Carnet may be used for several border crossings and is valid for one year.
Instead of national customs documents, the ATA Carnet can be used for imports,
exports and transits purposes. The advantage is the swift passage through customs.
The ATA Carnet has a uniform appearance for all contracting parties to the
Convention on Temporary Admission of 26 June 1990 (the so-called Istanbul
Convention). It can be used in more than 60 countries.
When opening the ATA Carnet, the complete description of the goods must be (cover
sheet reverse) present. For the holder of the ATA Carnet, it is always possible to bring
the goods back into the domestic customs territory.
The use of the Carnet ATA is applied to durable goods but not to nondurable goods.

All delegations will be accommodated in hotels in Otepää and Otepää area (maximum
12km from Otepää). All persons outside the Seeded Group and their qualified coaches will
be charged between CHF 90 - 120 per persons per night in double room. For cancellation
of a booked room after January 7th, 2015, the FIS World Cup Rules point 13.1 applies (the
respective National Ski Association has to pay the difference between effective and
announced rooms).
The OC offer accommodation from Sunday to Monday in Hotel Ülemiste, which is
located near the airport of Tallinn. Please mark this in preliminary information.

(Point 10, Carrying Costs). All travel and accommodation costs will be settled in the
finance office with the Team Captain on Friday January 16th, 2015. Travel money

Shuttle buses runs Thursday – Sunday, from the hotels in Östersund to the Arena and
back. The shuttle service is for the FIS officials, participating teams and team leaders.
Media are welcome to travel with the shuttles, but athletes going to competitions have
priority.
It is also possible to book shuttle on request Monday 09th – Wednesday 11th from hotels in
Östersund to the Arena and back (free of charge).

Price: 300 SEK/Person. The transport is to be paid in advance, you will receive an invoice.

Radios are free of charge - provided that they fulfill the requirements of relevant equipment
standards and specifications. If not, the fee for team ́s or other mobile transmitters has to
be paid to the Swedish Telecommunications Administration. (More information will be
handed out at the Race Office).

Remember that citizens of some countries will need visa for visiting Sweden. Please check

All prize money will be paid to the prize-winner’s personal bank account. FIS´s database
will be used for this purpose. Each athlete is responsible for informing FIS
([email protected]) of his/her bank- and personal details.
Important!
An athlete who receives prize money in Sweden for the first time must leave a copy of
his/her PASSPORT to the organizer (Race Office) before leaving the competition.
If the athlete has not informed FIS about his/her bank- and personal details it is possible to
fill in a FORM and give to the organizer (Race Office or email to
[email protected]) by the latest 15th of February. Forms are available at
Race Office and http://www.ostersund2015.se.
Observe! No handwritten forms are accepted due to misunderstanding of letters and
figures.
Prize money will be paid as soon as the organizer has received requested information as
stated above.
Swedish tax and social contributions (figures according to Swedish law 2014)
According to a decision of January 2011, taken by the board of directors of the Swedish
Ski Association, regarding the way Swedish organizers shall settle the payment of prize
money, the OCs of World Cup Östersund 2015 hereby give the following information;
The gross amount of the prize money will be reduced according to;

1. If the prize winner is a citizen in an EU/EFTA country -15,00 %
2. If the prize winner is a citizen in another country than EU/EFTA,
the tax and social contributions will reduce the gross amount as follows:
• Prize winner born 1988 or earlier: - 35,32 %
• Prize winner born 1989 or later: - 26,40 %
For athletes from Canada, Switzerland and USA
The tax burden can be reduced to -15 %, if the athlete is a citizen in a country outside
EU/EFTA, which co-operate with Swedish authorities regarding social contributions (only
possible for citizens from Canada, Switzerland, USA). The athlete must then present a
certificate which shows that he/she belongs to the social insurance system (pays social
contributions) in his/her own country. To get the lower tax this certificate must be
presented to the organizer by the latest February 25th 2015. If any questions about

Due to a special tax convention between Norway and USA and Russia, income tax
will not be deducted by the OC – “the income shall be taxable only in the State of
which the sportsman is a resident”

Tax will be deducted by the OC according to the Norwegian Foreign Artist Taxation
Act, and taxes will be paid by the OC according to the regular tax legislation in
Norway. The athlete may contact the International Tax Collection Authority

3. Accommodation (World Cup Rules Art. 13)

The OC offers the following accommodation:
• Radisson Blu Park Hotel Fornebu: 125 CHF per person in double room with
full board (inside quota):
• Holmenkollen Park Hotel /Soria Moria Hotel: 125 CHF per person in double
room with full board (inside quota)
Prices for additional accommodation outside the quota and the race period:

4. Transport (World Cup Rules Art. 11)
• Official airport: Oslo Airport Gardermoen
• The organizing committee will provide transportation between the airport and the
hotels. Transportation have to be booked through the FIS online system. Deadline:

Euro pr person one way. The amount will be deducted from the reimbursement.

Shuttle transport is offered between the hotels and the venue
5. Payment (World Cup Rules Art. 10 and 13)
• Accommodation costs : The teams will pay for the accommodation in the
reimbursement/financial office at Holmenkollen Park Hotel. Persons from the pay
lists will be paid by the OC directly. Teams (team captains) will pay directly to the
hotels for all extras (room service, movies, drinks etc.)
• Carrying costs/Reimbursement :
The Financial Office is located close to the Service Center and will be open from
Thursday-Sunday 08.00-20.00.
All payment will be done by bank transfer
6. Waxing facilities (World Cup Rules Art. 14)
• Wax cabins: available from 09 March at 08:00
• Waxing trucks: teams arriving with trucks have to inform the OC before 01/12/2014
with exact measurements of the truck and details of the needs
7. Regulations of radio equipment:
• The import, export and the operation of radio equipment in Norway is regulated by
national law. Permits for the use of radio transmission equipment must be
requested according to national specifications.

8. Regulations of Visa:
• Remember that citizens of some countries will need visa for visiting Norway. Please
check with your embassy if you need a visa for Norway.
• For an official letter of invitation, please send a request to
team@holmenkollen.
9. Income tax information for prize money:
· The current norwegian tax rate for non resident athletes is 15%
· Tax will be deducted by the OC according to the Norwegian Foreign Artist Taxation
Act, and taxes will be paid by the OC according to the regular tax legislation in
Norway.
• The athlete may contact the International Tax Collection Authority at
[email protected] for a certificate confirming that the tax has been paid in
Norway.
