SALARY RANGE: $28,000 to $42,000 HOURS: Full time, Monday through Friday. 8:00 a.m. to 5:00 p.m. POSITION SUMMARY: This position is responsible for performing secretarial and administrative duties in support of Kennebec Wealth Management (KWM) Senior Account Executives, Client Services Director and clients; for processing financial transactions within Branchnet; for creating and maintaining client files; and for supporting Bank products and services. Act as administrative assistant for the Senior Account Executives and Client Services Director: represent KWM to customers and visitors in a courteous, confidential and professional manner; prepare correspondence; maintain files; schedule meetings and appointments; maintain calendars; receive, sort and distribute incoming mail as needed; transmit telephone messages. Order and maintain departmental supplies. Perform a wide variety of departmental functions to meet the established objectives of each client. Refer questions or problems to KWM Branch Manager/Senior Account Executive. Generate mailing lists and complete periodic mailings. Develop and maintain spreadsheets and forms for trust operations. Assist with preparation for various client, and wholesaler meetings and luncheons. Comply with all applicable state, federal and FINRA rules and regulations, all LPL Financial (LPL) policies and procedures and, where applicable, Bank policies and procedures. Meet or exceed established objectives for Client Services Assistant performance. Provide clients with account information. Prepare daily deposits; accurately document client monies and deposit them accordingly. Open new accounts and prepare necessary documentation. Perform other duties as requested. EDUCATION/ EXPERIENCE REQUIRED: Associate’s degree or equivalent work experience. One to three years’ secretarial experience, with excellent typing, word processing skills; dictation ability desirable. Satisfactory completion of LPL Administrative Assistant program. Computer literate, with specific experience in word processing and spreadsheet applications. Must be able to deal with people in a confidential, supportive and professional manner in person and by telephone. OTHER REQUIREMENTS: Must be able to lift files and other documents of approximately 20 pounds. Must be able to read and work with computer print-out reports. Must be able to stand or sit for extended periods of time while waiting on customers. Must be able to spend extended periods of time operating a computer keyboard and working at a computer monitor.
