Shipping instructions and Tariff
DHL Trade Fairs & Events Belgium has been appointed as the official freight forwarder and on site
logistics contractor. Below you will find information on the services we offer and guidance as how to
dispatch shipments to the event.
Our company can supply first class transport services to and from the venue by road, air and express.
You will have the knowledge that all your requirements will be carried out by the official contractor who is
aware of all the requirements. We offer dedicated road consolidated services ex-Belgium to and from the
venue.
At the venue <e carry out any lifting requirements to and from the stand, supplying storage for both empty
packaging as well as full goods storage with access and supply during the show.
Ther will be a strict lifting schedule which governs the access to the loading bay at the venue to ensure
that all goods will be lifted to stand within a set time frame for the build-up and same again for
dismantling.

2. Shipping guidelines
2.1. Shipments to advanced warehouse
To guarantee the timely delivery to the stand we advise to consign your shipments to our warehouse.
Courrier express services do not always deliver during the build-up to the stand as requested by the
shipper. Or the organiser or venue refuses to accept the goods on behalf of the exhibitor due to
responability issues.

Important remarks :
If goods come from outside the EU, the goods must be customs cleared.
It is adviseable to ship the goods for temporary importation with a carnet ATA. If this should not be
possible, please do take contact with us before shipping the goods.
We can arrange permanent customs clearance for the goods, but for promotional material/give-aways
only.
2.2. Direct deliveries to the venue
Access to the venue is limited. We advise to send your material via the advance warehouse.
Shipments to be sent directly to the venue.

Important remarks :

6.3. Direct to show site
Lifting with forklift truck
Forklift truck service will only be available upon prior booking.
Order for forklift asistance pust be placed before 19/03/2014.
A lifting schedule will be made based on the incoming orders. This lifting schedule will govern the
access to the loading baya t the venue to ensure that all goods will be lifted to the stand within a set
time frame and same again for the break down.
Forklift assistance will be calculated per exhibitor, not per truck.

6.7. Surcharges for work outside normal working hours
The mentioned tariffs are valid for work performed during normal working hours : Monday to Friday
from 09.00 to 18.00 hours.

6.8. Important remarks on the tariffs
Delivery includes 1 movement of the goods to the stand or closest possible to the stand. Each
additional handling will be invoiced according to this tariff.
Additional services, not-included in this tariff, will be invoiced according to the signed work orders.
The tariffs for these additional services are available on simple request.
The tariffs are exclusive VAT (if applicable)
7. Insurance
When accepting the order for execution the shipment will not be insured automatically by DHK Trade
Fairs & Events during transport or handling. This remains at all times a responsibility of the client.
DHL Trade fairs & Events can offer you a full cover transport insurance on request only.
DHL is liable as transporter for transportation services, according to national law and the international
conventions relative to the applicable mode of transportation. For all other services (e.g. offloading, stand
delivery, storage during the show, collection from the stand and loading) the liability of DHL is, according
to article 28 of the Belgian Freight Forwarders Standard Conditions, limited to 5,00 EUR per damaged or
missing Kg gross weight with a maximum of 25.000,00 EUR per order.

All services must be either prepaid or paid at the venue. There are no credit facilities. We accept
