Electronic Direct Debit Requests Prepared By: Jeffrey Jones Distribution: External Confidential Ezidebit Pty Ltd | 1 How Direct Debit Works • Direct debit is means of payment that allows businesses to automatically collect money from customers’ credit cards and bank accounts. • When a customer signs up to pay a business by direct debit, they sign a Direct Debit Request (DDR) giving permission to commence the direct debit billing schedule. • The DDR establishes the payment schedule, and provides clients with more control over payments owed to their business. • By having proactive control customers’ payments, Ezidebit Clients: • − Improve cash flow; − Save time; − Have fewer debtors outstanding to follow up; and − Are able to concentrate on the core focus of their business Customers want to use Direct Debit too, as it offers them the ability to set and forget their bill payments, and they don’t have to worry that bills might not be paid. Ezidebit Pty Ltd | 2 Introducing Electronic Direct Debit Requests • Traditionally, the DDR is a paper document that needs to be filled out in person, faxed, dataentered, filed, and stored. • Ezidebit is pleased to introduce its new electronic Direct Debit Request (eDDR) technology. • The eDDR allows customers to sign up to a payment schedule over the internet at a time convenient to them, making the process more accessible & increasing signup rates. • The eDDR can either be provided to customers in an email or through a link on your website. • Upon signing the Electronic Direct Debit Request, Ezidebit will send each customer an email confirmation, verifying their payment schedule along with the terms and conditions. Paper DDR Electronic DDR Ezidebit Pty Ltd | 3 Customising Electronic Direct Debit Requests for your Business • Ezidebit clients can customise the look of Ezidebit’s Electronic Direct Debit Request form. − Businesses can brand the eDDR with their Logo. − Ezidebit provides a Cascading Style Sheets (CSS) template clients can edit and store on our server. You can customise the look and feel of your eDDR to be: Consistent to your brand: eDDR (Ezi Gym) Ezidebit branded: eDDR (Ezidebit) • Ezidebit clients can also adjust the Electronic Direct Debit Request fields. − Activate or deactivate options such as accepted payment method (ie: bank account and/or Visa and/or AMEX). − Choose the direct debit arrangement options. Scheduled: The amount and frequency is set at a fixed amount and billing cycle. Triggered: This gives clients the control to choose when payments are charged, and for how much. This is suitable if you have varying amounts of fees to collect. − Pre-populate data into fields (ie: such as payment frequency, debited amount, or customer ref. number). Ezidebit Pty Ltd | 4 Customisable Options Ezidebit’s eDDR’s are customisable enabling clients to tailor the structure and options of their eDDR through our Application Programming Interface (API). Ezidebit Pty Ltd | 6 Conditions • You should only refer eDDR’s to those Customers with which you have an ongoing relationship. • Ezidebit reserves the right to cease or halt your Direct Debits or reject any eDDR if at any time Ezidebit believes that the relevant Customer or any other person has acted fraudulently in connection with the eDDR. • Please note that eDDR’s carry some additional risk. In the event of a Direct Debit Claim it is difficult to defend a claim where there is not a binding signed Direct Debit Request form as detailed by the extract from BECS procedures below: Clause 7.8 (i) Claim Procedures under Sponsor Indemnification and Representative Indemnification "any claim in respect of which the DDR Claims Evidence does not include a copy of a valid and binding written Direct Debit Request with a signature that has been handwritten by the Customer shall be determined in favour of the Ledger FI unless the Sponsor can establish conclusively that the Debit User has obtained a valid and binding Direct Debit Request from the Customer in writing by electronic communication or by telephone“ • It is mandatory that a copy of the Direct debit service agreement (Terms and conditions) and direct debit request schedule MUST be provided to the customer within 7 days, this can be by email or post. Ezidebit Pty Ltd | 7 Electronic Direct Debit Options for your Business Ezidebit Pty Ltd | 8 Option 1: eDDR Link • Fewer technical requirements, but limited customisation with your internal systems. • This option can be rolled out without requiring the business to have a website. • Suitable for emailing to remote customers in bulk. • The customer accesses the eDDR through a link emailed out or placed on your website. • eDDR fields can be prefilled using code in the HTML link. − You can customise the link you distribute, and the eDDR changes dynamically. • As customers sign up to payment schedules, clients should refer to the “New Customer Reports” to identify which customers have recently signed an eDDR. • Once established, any customer Direct Debit payments can be adjusted and controlled from within Ezidebit Online, Ezidebit’s secure online portal. Ezidebit Pty Ltd | 9 Option 2: eDDR With Website Link • This option requires the business to have a website and is suitable for those relying on the website to acquire new customers. • A web form can be used to collect some preliminary information and then submit that data to the eDDR form. This scenario relates to a customer filling out some information on the client’s own website, and then forwarding it to Ezidebit to finish entering (e.g. bank details, etc.) • • Fields are generated dynamically to ensure the fields are relevant for the service the customer is signing up to (e.g. fee amount). Once established, any customers Direct Debit payments can be adjusted and controlled from within Ezidebit Online, Ezidebit’s secure online portal. Ezidebit Pty Ltd | 10 Option 3: eDDR Extended to Payment Gateway API • This option integrates payment data with the client’s internal customer database. • The eDDR creates new customers in the Ezidebit System that the client can thenceforth manage through the integrated payment gateway via their management software. • − Change payments − Manage customer details − Automatic reconciliation This option reduces programming for creating customers in integrated systems. Email this link to your customers or place it on your website. 6. Your customers sign up to Ezidebit... your debtor rate decreases... ...and your cash flow grows.
